Hey
We have this built-in HubSpot feature for detecting possible duplicates, and it works well. The problem is that it’s closed from the rest of the system’s environment, meaning there is only one way of using it - going through the list of all duplicates in the systems(thousands and thousands of records). Spending years to find all the duplicates in the system isn’t really the thing we want to do)
Here comes the question. Can we use this duplicate detection functionality for the particular list or the import of contacts so we can manage duplicates only for the contacts we are working on at the moment? If not directly with HubSpot, maybe there are any apps on the marketplace that make this possible?
Thanks
Hi @akrus,
Yes, Insycle is such a tool and integrates very nicely with HubSpot. It lets you check duplicates after filtering and based on custom duplicate detection rules: HubSpot Data Standardization & Cleansing | Insycle

Hi @karstenkoehler
Got it
Thanks a lot!
Hi @akrus,
I work for Insycle, and wanted to pop in here and add a little more context. Thank you for sharing about us @karstenkoehler.
Insycle allows you to identify and merge duplicates in super advanced ways using our Merge Duplicates module. Here are some ways we can help you identify and merge more duplicates without sacrificing any control in the process:
- Use any field in your database as a potential unique ID matching field. For example, you can use similar or exact matching on a full name, company name, email domain, mailing address, - whatever fields make the most sense based on your use case.
- Use exact matching, similar matching, or advanced data matching rules to identify more duplicates that would otherwise be missed.
- Set rules for determining the master record that duplicates will all merge into. For example, if you have 3 duplicates in a duplicate group, you can set rules for determining the master record, such as the earlier created create, highest deal amount, or most recently updated.
- Set rules for retaining data during the merge, down to the individual field level. Ensure you never lose important data during the merging process.
- Fully automate your deduplciation templates. You can run them on a set schedule, or even inject them into Workflows so that duplicates are identified and merged immediately after they enter your CRM.
- Always have the ability to preview your deduplication runs to see how they work and ensure accuracy.
Hope that helps!
Best,
Ryan
