Who is this feature for?
This feature would benefit any HubSpot user who imports contacts or companies into the CRM. This includes marketing operations, sales operations, demand generation teams, event marketers, and sales teams who regularly upload lists from conferences, webinars, purchased lists, partner programs, or enrichment tools.

What is the goal?
The primary goal is to improve data hygiene and governance at the very beginning of the data lifecycle. Many organizations have multiple team members who can import leads into the CRM, and while HubSpot has a strong import tool today, it would be extremely valuable to add additional guardrails that allow users to evaluate data quality and engagement context before the final import.

Adding an additional validation layer would help teams prevent duplicates, protect compliance settings (like opt-outs), and make smarter decisions about which contacts should actually be added or revived in the CRM.

Proposed Feature
Enhance the HubSpot import experience with an additional pre-import review stage focused on engagement and contact status.

Currently, HubSpot imports primarily validate field mapping and formatting. Expanding the process to include engagement and lifecycle context would significantly improve data quality and decision-making.

For example:

  • In Salesloft, when uploading contacts, the system surfaces key activity information before completing the import. Users can see things like:

    • Whether a contact is currently in a cadence (HubSpot equivalent: Sequences)
    • Whether the contact is flagged Do Not Contact
    • Other engagement-related states that impact outreach
  • In Pardot, if a contact being imported already exists in the recycle bin, the importer provides an option to restore matching prospects via a checkbox during the import process.

HubSpot could take this concept even further with a structured multi-step review process:

Proposed Import Flow

  1. Upload + Field Mapping (current step)

  2. Data Quality Validation

    • Duplicate detection
    • Invalid values
    • Missing required properties
  3. Contact Engagement & Status Review

    • Contact is currently in a Sequence
    • Contact is marked Do Not Contact
    • Contact is globally opted out
    • Contact already associated with an active deal
    • Contact recently engaged with marketing
  4. Archived/Deleted Contact Handling

    • Identify contacts currently in the Recycle Bin
    • Allow users to select whether to restore matching contacts during import

This process would give users a much deeper understanding of the data before committing it to the CRM.

For example, if a team just met contacts at a conference or webinar, they may want to restore previously archived contacts who have new engagement, especially if those contacts are tied to active deals or recent outreach.

Right now, HubSpot imports often require multiple manual steps after the fact (checking opt-outs, reviewing duplicates, restoring archived contacts, etc.). A more advanced import workflow would allow teams to make these decisions proactively.

What value will this add?

1. Enhanced Data Hygiene Management
Adding validation around engagement status, opt-outs, duplicates, and archived contacts would allow teams to prevent poor data from entering the CRM in the first place. This creates stronger governance and reduces the need for downstream cleanup by operations teams.

2. Improved CRM Integrity and Compliance
Surfacing opt-out status, Do Not Contact flags, and engagement history during import helps organizations maintain compliance and avoid accidental outreach to contacts who should not be emailed or sequenced.

3. Seamless User Experience
Instead of importing contacts and then performing several manual checks afterward, users could evaluate everything in one guided workflow. This saves time, reduces operational friction, and helps teams feel more confident about the data they are adding.

4. Greater Visibility Into Data
A deeper pre-import review process gives teams meaningful insight into the records they are uploading—whether they already exist in the CRM, whether they are engaged, tied to deals, or archived. This level of visibility helps teams make smarter decisions about how contacts should be handled.
