This is where the conversation context from Notetaker pays off.

Deal Progression takes the transcript Notetaker captured and runs it against your full deal history and CRM context. It then surfaces three things: suggested CRM property updates based on what was actually discussed, a drafted follow-up email that reflects the real conversation, and executable next steps the rep can convert directly into tasks.

Here’s what that looks like in practice. A rep wraps up a call where the prospect confirmed their budget, mentioned their contract is up in Q3, and asked for a product overview to share with their VP. Without transcripts in HubSpot, the rep has to remember all of that, manually update the deal record, write a personalized follow-up, and set a reminder for Q3. With Deal Progression and Notetaker, HubSpot catches those details from the transcript and serves them back up. The rep reviews, confirms what’s accurate, and moves on.

The deal record reflects reality. The follow-up is already drafted. The next step is queued.

Setting it up: three steps

Step 1: Bring your transcripts into HubSpot

  • Enable the HubSpot Notetaker. An admin turns on call and meeting recording in HubSpot settings. This doesn’t replace any existing notetaker your team uses. It just ensures the transcript also lands in HubSpot.

  • Connect your existing meeting provider. Pull in recordings from Zoom, Teams, Google Meet, or whatever your team already uses. No switching required.

Step 2: Transcripts come in automatically. Once connected, transcripts are generated and stored securely inside your HubSpot account.

Step 3: Opt into Smart Deal Progression. Join the Meeting Notetaker with Smart Deal Progression Beta. After the next call, reps will start seeing suggested CRM updates, drafted emails, and action items ready to review.

Starting with a focused set of properties (deal stage, budget confirmed, next step, close date) keeps suggestions relevant and helps reps build the habit of reviewing them.

Common questions

“We already use a notetaker.” Keep using it. Enabling HubSpot’s Notetaker doesn’t replace what you have. If you don’t want a bot joining your calls, just connect via integration instead. Either way, your transcript flows into HubSpot to activate Deal Progression. Same meeting, more value.

“We already have a process that works.” Deal Progression is built to sit on top of your existing workflow, not change it. Reps keep doing what they do. They just get suggested updates and drafted follow-ups waiting for them after each call. If a suggestion doesn’t fit, they skip it. Nothing is automatic without their sign-off.

“We use a third-party AI tool for this.” Third-party tools can summarize a call, but they can’t update your HubSpot deal stages, draft follow-ups with full deal context, or create tasks that live where your reps already work. And unlike custom workflows that push data from external tools into HubSpot, this works out of the box. No syncing headaches, no data getting lost between systems.

Your data stays yours

All recordings and transcripts are stored inside your HubSpot account, protected by the same permissions you already use for customer data. Admins can turn recording on or off, choose what to save, and delete data at any time.
