I’m trying to calculate MRR within a HubSpot property, but I’ve hit a roadblock. We have a QuickBooks sync that sends all invoice data to HubSpot, but I just found out there’s no built-in way to create an MRR property.
At this point, my options seem to be:
Using a calculated property in HubSpot (which has limitations).
Setting up an automation via Zapier—but before going that route, I’d love to hear if anyone has found a better solution.
The challenge:
No Rollup properties in my account (I’m a Super Admin but don’t have a paid seat), so I can’t sum associated invoices.
Only have access to Calculated Properties, which seem restrictive for automating MRR calculations.
Has anyone successfully calculated MRR based on associated invoices inside HubSpot?
The rollup property is the only way to calculate and sum associated records. You shouldn’t need a paid seat, as long as your account has paid for Operations Hub. I would reach out to your CSM or Support Chat.
It is a common roadblock for HubSpot users trying to calculate MRR using invoice data from QuickBooks. Since you’re syncing all invoices into HubSpot, you’re halfway there. Still, as you’ve noticed, without Rollup properties (which require a paid Ops Hub seat), it’s tough to sum associated invoices or automate MRR properly within HubSpot alone.
Calculated properties can work, but they’re quite limited—they can’t dynamically total multiple invoices or filter based on recurring status. Zapier could be a workaround by summing invoices in QuickBooks and then pushing the MRR value into a custom HubSpot property on the associated company or deal. Another solid approach is using a middle-layer app or custom integration (like using a serverless function or Google Apps Script) to calculate MRR from invoice data and update HubSpot via API.
If you want to avoid messy workarounds and manual maintenance, Cloudify can help you build a seamless HubSpot–QuickBooks integration that automates customer, product and invoice/estimates creation.
