HubSpot sends system-generated emails such as Month in Review directly to users in a portal, including aggregated business performance data such as contacts, deals, traffic, and activity metrics.

The issue is that these emails sit outside the normal admin control model:

  • They are generated by HubSpot
  • They are not configurable at the portal level
  • Admins cannot centrally disable or control distribution
  • Users receive them regardless of internal governance needs
  • The only current option is individual user unsubscribe

Why this is a problem

HubSpot provides role-based access and permission controls for data inside the platform, but system-generated emails can distribute aggregated performance data outside those controls.

That creates a governance gap:
admins do not have full authority over how internal company data is distributed to users by email.
