Meetings are not logging from Outlook to HS, reinstalled integration. Issue for whole team.

This has been an ongoing issue for my team for about a year. For 2 members, the calendar is syncing from Outlook to HS this month, for the rest, there is no data. Last month, it was working for most members and logging most (but not all) Outlook meetings; however, this month, no meetings are being logged for me, and the data for the quarter’s previously logged meetings is gone. The impacted members are different every month. We have all reinstalled the integration with no results.

Hi @KKelsen ,
It sounds like your team is experiencing persistent and inconsistent issues with HubSpot’s Outlook integration, particularly with meeting logging. Here’s a structured approach to diagnose and resolve the problem:

Go to each user’s Settings > Integrations > Email Integrations > Calendar and confirm that:

  • The correct calendar is connected.
  • The sync toggle is turned on.
  • The integration shows “Connected” without errors.

Sometimes the sync appears active but is actually broken due to expired tokens or permission issues.
Ensure that you’re relying on Connected Calendar (not just the Outlook add-in) for automatic meeting logging. Sometimes users think the add-in alone will handle meetings, it does not.

Try Clearing Cache or Using Incognito (Initial Setup) - When reconnecting, do it via an incognito browser or after clearing cookies/cache. Browser-stored auth sessions can sometimes break the connection silently.

Since this issue is affecting multiple users inconsistently over months, it might be a deeper backend issue. You can escalate to HubSpot Support (if you’re on a paid plan) with a list of affected users, screenshots, and logs.

Hi @KKelsen ,

Sorry to hear that this issue has been recurring for over a year. Based on HubSpot’s knowledge base, various community discussions, and AI-suggestions, here are some common reasons why Outlook meetings may not sync correctly with HubSpot:

  • Primary Calendar Only: HubSpot only syncs meetings from a user’s primary Outlook calendar. Events on shared or secondary calendars won’t sync.
  • Contact Must Exist: For a meeting to log in HubSpot, at least one attendee must be an existing contact in your HubSpot CRM with a matching email address.
  • Meeting Visibility: If a meeting is marked as “Private” in Outlook, HubSpot won’t log or update it.
  • Recurring Meetings: HubSpot only logs the first instance of a recurring meeting unless the later events are edited individually.
  • Calendar Sync Connection: A broken or outdated calendar sync connection can cause issues. Disconnecting and reconnecting the Outlook calendar often helps, but deeper issues may persist.
  • Outlook Add-in Issues: If the HubSpot add-in is disabled or outdated, meeting logging can fail. Make sure the Outlook add-in is installed, active, and updated for all team members.

Steps to troubleshoot & fix Outlook-to-HubSpot meeting sync issues:

1. Verify Calendar Connection

  • Go to HubSpot Settings > General > Calendar for each user.
  • Confirm that the primary Outlook calendar is connected (shared/secondary calendars won’t sync).

2. Check Meeting Settings

  • Ensure meetings are marked as “Public” in Outlook (private meetings will not sync).
  • Verify that at least one attendee is an existing HubSpot contact with a matching email address.

3. Reinstall and Reconnect Integration

  • Uninstall the HubSpot Outlook add-in.
  • Restart Outlook, then reinstall the add-in.
  • Reconnect the calendar via HubSpot Settings > Calendar after reinstalling.

4. Test with a New Meeting

  • Create a new one-time meeting in the user’s primary calendar.

  • Add a HubSpot contact as an attendee, mark the event as “Public,” and save.

  • Wait a few minutes, then check if it appears in HubSpot.

    • If it does: the original issue likely stems from calendar selection or meeting settings.

5. Check Add-in & Permissions

  • In Outlook, go to File > Options > Add-ins → ensure HubSpot Sales Add-in is enabled under COM Add-ins.
  • Confirm permissions are granted and no antivirus or firewall is blocking the sync.

If everything looks good and it’s still not syncing across the team, I’d recommend reaching out to HubSpot Support. They can dig into the backend and spot issues we can’t see.
