WareSpace uses the meeting scheduler for leads to book a tour (a.k.a. “meeting”) and see our all-inclusive small warehouse spaces at one of our 12 – and growing – locations across the United States in person.

1. Hardcoded Meeting URLs

:backhand_index_pointing_right: Meeting links must be tied to a HubSpot user…but there isn’t a way to update the user tied to the meeting link. What if that person leaves the company? I am either stranded with a URL I no longer won’t to use, or I have to start a fresh Meeting link and lose all of the conversion metrics.

2. Cancel and Reschedule Links

:backhand_index_pointing_right: Currently, there is only a toggle to add the Cancel/Reschedule links in the Meeting Confirmation email. I believe most companies take advantage of the “Reminder” emails leading up to the Meeting Date to increase show-rate. Guess what isn’t an option? The Cancel/Reschedule links. Right now a contact’s only option for cancelling/rescheduling is to search for the original confirmation email.

3. Cancel and Reschedule Behavior

:backhand_index_pointing_right: Currently, if someone Cancels/Reschedules via the link in the confirmation email, our team members need to manually find and delete the meeting. Why is that?

4. Option to set Contact owner as Meeting Host via Meeting tool

:backhand_index_pointing_right: I’ve built a custom solution to copy the value of the Host from the last meeting booked in meetings tool to the Contact owner property. This seems to work most of the time, but it has hiccups. I would love a setting in the meeting tool where we can set the contact owner when the meeting is booked. This would also allow as to assign the Meeting link to a “location” – rather than a user – and set the contact owner + book the meeting to the associated user’s Outlook. Perfect solution for when one of our GM’s backfill during a PTO, etc.

5. Cancellation Email Bug???

:backhand_index_pointing_right: We need design control over the Cancellation email. Currently, when someone cancels an email, the contact receives the confirmation email with “Canceled:” appended before the subject line. This is confusing for the contact as the rest of the email is “excited to have you tour”.
