Meeting Scheduler Form overriding first name and last name of contacts

Problem: when someone fills out the Meeting Scheduler Form, they automatically override their existing Contact Property. For example our client Robert Smith set a meeting and filled the Meeting Scheduler Form as his First Name is Boberino and Last Name Smitty. He is a pretty funny guy but now his Contact Profile name has been changed to Boberino Smitty. (I changed it back but if I hadn’t noticed he changed his name, his profile would be lost under Smitty).

When someone schedules a meeting through a HubSpot form, a new contact is automatically added to the CRM—unless a contact with the same email already exists. In that case, the existing record is updated with the new meeting details.

However, if the same person uses different email addresses or variations of their name (like “John Doe” vs. “Jonathan D.”), HubSpot may create duplicate records, making it harder to maintain clean contact data.

It is henceforth always ideal if existing contacts use their usual names while scheduling meetings

Turn on “Pre-populate fields with known values”
This makes sure that when an existing contact (like Robert Smith) books a meeting, their original info (like first and last name) is auto-filled so they’re less likely to change it for fun.

Leave “Auto-submit when all fields are pre-populated” turned off, this gives people a chance to review the form before submitting, instead of it getting auto-submitted with old or incorrect info.
