I’m currently trying to track meeting outcomes through reports, but I’m running into some issues. The main challenge is that outcomes are not being manually assigned by the team. Some meetings aren’t marked as completed (which I had assumed would happen automatically) and others that are canceled or rescheduled aren’t being updated correctly.
I’m wondering if it’s possible to set up a workflow so that:
Every new meeting created is automatically marked as Scheduled.
For past meetings, we can define outcomes such as Completed, Rescheduled, or Cancelled.
Would love your input on whether this setup is feasible.
As long as we don’t have meeting-based workflows (they might be around the corner, call-based workflows were introduced recently), this is not possible out of the box, no.
It would require custom development, either by creating a private app and leveraging the HubSpot API or by using a custom code action in a contact-based workflow: Workflows | Custom Code Actions - HubSpot docs
So yes, doable, but requiring the help of a developer (or generative AI like ChatGPT for coding help), and in the latter case an Operations Hub Professional or Enterprise subscription.

Hey @TVaz! Our team uses an AI tool to record all our virtual meetings, and since it’s integrated with HubSpot it automatically updates the meeting outcome to “Completed” (we use Sybill, but there are tons of others!). Not a complete solution, but definitely a bonus.
Another option that could help (not solve completely, unfortunately) is to create a report that displays Meeting Outcome per User. This obviously doesn’t update the outcome, but it does highlight how many meetings have been updated, who’s good a doing the updating, etc.
