Meeting link, forward the email to a colleague?

Hi,

(Sorry in advance if I’ve placed this question in the wrong section)

As of right now the meeting link on our website are directly linked to my Outlook so when someone book a meeting with our company I get a notification about it and handle the request.
I am going on vacation in a different timezone and wont be able to manage the meetings booked so I was wondering if it is possible to create an automation or some sort that sends the email to my colleague that can handle the meeting request in my place?
Or do I have to se up a new meeting link with a different person?
Best regards,

Joacim

Hi @JoacimN,

If you’re going on vacation, should your calendar even show availability? Personally, I always block my calendar during my time off. I create an event in Google Calendar or Outlook over multiple days and set it as busy. (The last part is important, otherwise this time will still show as available in your meeting link.)

From experience, contacts will simply book the next available time after your return. If you want your colleague to handle incoming meeting requests, I’d recommend sharing their link instead, e.g. mentioning in your email signature that during your absence your colleague is available.

Besides that, I’m not aware of a feature that would let you reroute incoming requests to another person. You would have to set up a team availability link to achieve this behavior, but this would also mean that you can’t use your existing link anymore: Understand group and round robin meeting availability

Best regards!

Thank you Karsten for the answer.
I found a function where you could set a rule in Outlook that forwards all the emails containing the subject line from HubSpot to a specific colleague.
Your solution works as well.
Have a good day.
Best regards,

Joacim
