Meeting Form Embedded on Company Website.

Hi, and thank you for taking the time to read my question.

Potential customers who visit our website have the option of scheduling a free consultation through Calendly, which is embedded on our website. I’d like to use HubSpot for this instead. Currently, when a customer schedules an appointment online, that appoitment the customer scheduled, both day and time, then appears on a shared Google Calendar. The reason being is two other employees also scehdule free consultations from those who call into the office, so they need to see all availablity time slots before scheduling so as not to overbook a time slot. The issue I am having is I can not firgure out how to make the meetings form from HubSpot work in this same way, or if it is even possiable. How do I make it so that when a customer fills out the meeting form it populates in a Google calendar instead of the HubSpot calendar of the one who created it. I have linked the Google Calendar to HubSpot, but I can’t figure out how to point meetings to this calendar.

Hi @msalewych,

A meeting link created in HubSpot should reflect the availability of the connected calendar in the settings (Settings > General > Calendar). If you have connected multiple calendars, HubSpot will check the availability on each calendar and block times that are busy.

Could you double check how many calendars you connected and report back? If for example two are connected, the meeting link would not show all availability from one of the two – only the times available on both calendars.

If you have only one calendar and the availability is not showing correctly, I’d recommend these troubleshooting steps: Troubleshoot calendar availability for meetings

Generally, HubSpot should behave exactly as you described: One user connects the shared calendar (and only this one). HubSpot will respect the availability and not show times that are already booked by non-HubSpot users.

I want to thank you for taking the time to respond to my question and also appologise for taking three weeks to do so. Your solution did work. Once I removed conflicting calendars it worked perfectily.
