Are you finding it challenging to inspire your sales team to fully embrace the potential of your CRM system? Fear not, you’re in familiar territory… Many of our customers here at HubSpot have encountered this challenge throughout their journey and many of my customers are facing it as we speak!
That being said, there’s a wealth of proven strategies that have consistently empowered sales teams to excel. It will take patience, discipline, and strong change leadership, but if you’re ready to unleash your team’s full potential and drive revenue to new heights… I’d suggest starting with these 8 steps below:
- Educate Your Team: Top-level leadership must ensure that all sales reps understand the importance of CRM usage. Explain how it contributes to the visibility of sales processes, accurate forecasting, and team collaboration.
- Simplify the Process: Use the CRM’s features to make logging activity as easy as possible. For example, in HubSpot CRM:
- Customize your record views to eliminate redundancy. Only put the most necessary information for your team members in front of them.
- Use presets and team partitioning.
- Consolidate your meeting/call types and outcomes to reduce scrolling and make it easy for reps to track.
- Encourage the use of the HubSpot mobile app to log activities on the go! This is especially useful for field reps.
- Automate Where Possible: Set up the CRM to automatically log activities, send internal notifications, or perform external outreach.
- Connect your email to HubSpot and install the HubSpot Sales Extension.
- Use HubSpot’s calling feature to automatically log phone calls.
- Create follow-up tasks manually or with workflows based on deal stage, close date, last activity date, last contacted, etc.
- Use sequences to send prospecting emails to leads, book meetings, create tasks, etc.
- Provide Training and Support: Offer regular training sessions on how to use the CRM effectively and provide support for any questions or issues that arise.
- Aim for quarterly sales training and be sure to review CRM best practices during your regular stand-ups/team meetings.
- Create a resource library for your team that includes internal process documentation, playbooks, HubSpot knowledge base articles, blogs & academy courses.
- Use HubSpot Classroom Training to get your entire team up to speed on HubSpot in a live, hands-on environment where you choose the content and dates that work best for your organization.
- Incentivize Logging: Consider implementing incentives for diligent logging, such as recognition or rewards for consistent use of the CRM.
- Give team members verbal and/or written recognition for their efforts.
- Create contests centered around logging activity.
- Offer gift cards, eGifts, or other monetary incentives, etc.
- Create Reporting That Can Lead to Action:
- Win/Loss Ratio
- Lead/Deal Conversion
- Lead Sources
- Lead Response Time
- Customer Engagement
- Inactive High $ Deals

- Integrate with Other Tools: If your team uses other communication tools outside of the CRM, integrate them with HubSpot.
- Lead by Example: Managers should also be regularly using the CRM to set a good example for their team.
- Sales managers should be diligent in updating their own CRM entries, including logging calls, meetings, and emails. This demonstrates the importance of keeping the CRM up-to-date.
- Regularly share insights and successes that have come from analyzing CRM data during team meetings. Highlight how specific data entries led to positive outcomes, emphasizing the value of detailed logging.
By following these steps, you can foster a culture where using the CRM becomes a natural part of the sales process!
