Marketing Events - how to use them for recurring events

We make extensive use of online webinars and demos via Teams. This involves a lot of email communication, which I would like to automate. I am exploring whether the Marketing Event module can support this, but I haven’t been able to find a good setup yet. Maybe someone here can share some helpful tips.

Let me give an example with the following event: every two weeks, we organize an Open Demo. Contacts register via a form and select their preferred date using a property in the form.

  • I currently use a workflow to link contacts who submitted the form with the correct property to the marketing event as a registration (for instance ‘Open Demo - {date}’).
  • I would now like to connect transactional email to this marketing event. I want to send an automated email shortly after the event has ended. However, in Workflows I cannot find any Marketing Events properties, so I cannot use them as triggers. I believe this should be possible, right?

Ideally, I would also prefer not to create a separate Marketing Event for each edition of the Open Demo. Instead, I would like to use the properties of the different editions, including their respective dates and times, as variables within a single Marketing Event so I can automate as much as possible.

My question: how can Marketing Events support me in this case? What would be the best setup?

I understand the challenge is that you’re unable to send emails after an event ends because Marketing Events–based workflows aren’t currently supported.

While this isn’t available today, a potential workaround would be to enable an unused object (e.g., Services), rename it to Events, and manage your events there with the same logic you use now. This would allow you to build Events-based workflows to trigger emails to associated contacts once the event record is completed.

This is an interesting new approach. However, I am encountering the same issue again, which is that I would like to use a date as a trigger: when Event (or, following your advice, I have used the object Course) date = today, please wait 14 days and then send an email. Or: the day before the event, send an email.

However, I am beginning to think that this logic is not possible at all: when date is today / met. Do you know if that is possible at all? Or how to work around it?

I mean, I can’t be the only one who wants to use a specific date as a trigger. That is the most important variable when organizing an event.

You’ll want to use the “Based on a schedule” enrollment trigger when building the workflow. This allows you to enroll records based on a date property (ensure the field type is Date picker, not single-line text).

You can configure the workflow to execute on the selected date or relative to it (e.g., the day before). Full details are outlined in this knowledge base article.

You’re on the right track, but Marketing Events alone can be limiting for this kind of automation. A better approach is to rely more on custom properties + workflows instead of using Marketing Events as the core trigger.

You can store the selected demo date/time as a contact property, then build workflows based on that (e.g., delay until event date/time + X hours → send follow-up email). This way, you don’t need separate events for each session, and everything stays scalable.

For more advanced setups like this, especially when mixing forms, workflows, and automated emails—working with a team like ‘514 Digital’ can really help streamline the system and avoid limitations in tools like HubSpot.
