Marketing contacts isn't matching my dataset

I am uploading a dataset of 800 records and ticked the box to say “set these as marketing contacts” but when the box is popping up, it’s only asking me to type to confirm to set 392 as marketing contacts. Why is it only asking me to set 392 as marketing contacts and not 800?

Can you maybe share a screenshot of what you are seeing?

My best guess is not all of these are new contacts and therefore the numbers don’t match.

When I tick the marketing contacts box, this is what I see but the dataset is 800 rows and all have data in and this is the first dataset I’m uploading for this client so definitely no dupliacates as we only use HubSpot for internal purposes right now.

@RMitchell0 this suggests that the original file does not include 392 valid contacts – are you 100% sure that’s the case?

If you have validated yet, you seem to be on a paid subscription – which means you can escalate this with HubSpot support directly in-app via chat or email.

@RMitchell0 800 rows in your Excel import file, no errors on the mapping screen, HubSpot also previewing during the import process that you’re about to import 800 contacts.

If for example rows are missing required fields (email address), are empty, incorrectly formatted etc that would lower the number.

That is typically a sign that some of these contacts are marketing contacts already. Could you share a screenshot please?

there are no contacts in this brand we’re using for our client.

All have email addresses in and all mapped correctly, during import it said the right amount of rows so all must be valid contacts. I will escalate this via our contact if that’s the case!

Just to add to @karstenkoehler’s point on “valid contacts”, have you actually completed the import and checked how many contacts are being created? If you did, are there 800 contacts in the database, what is the marketing contact status and did the import throw up any errors?

No I haven’t completed the import as it needs to go out to 800. We upload 800 every week so it needs to match and the workflow is set to send the emails out at 9:30 so don’t think I’d have time to stop it before the emails went and the client is expecting it to go out to 800. There was 0 errors during the import though if that helps?

I am confused @RMitchell0 - if you have not completed the import, how can you day there we 0 errors during the import. That information is only available once the import has happened.

If any import has been completed and processed it will show up in the import overview, which will also tell you how many records have been newly createdm updated, newly associated and if there have been any errors and what they were.

I was referring to this part - sorry. I could try and upload the dataset and just turn the workflow off to stop the emails going out to see if I can see any errors.

I figured, so this tells you 801 rows got scanned it does not tell how many new contact objects have been imported. My suggestion:

  1. Run the import
  2. Check the error file
    1. either there are some issues and only 392 contacts get created - means you need to sort out the import file
    2. 800 contacts got created, check if all them are marketing contacts:
      1. if yes, then the import wizard screen has a bug, let HS Support know
      2. if no, then something else is going which also means HS Support needs to take a look.

I’ve uploaded the file and it says there are 0 errors.
