How do I fix HubSpot form email automation issues on Wix integration in HubSpot?

Hi everyone in the community.

I just graduated in digital marketing and am using this integration as a real-world practice to test my skills and set up my web project. I am currently using the free versions of both platforms (Wix and HubSpot) because I want to see how the tool works and learn to master it before upgrading to a paid plan.

I’m running into a technical issue that I can’t resolve, and I’d really appreciate your guidance:

  1. I’ve embedded a HubSpot form on my Wix website. When I test it, contacts do enter the HubSpot CRM (though they appear as “Unowned”).

  2. The main issue is that the automatic reply emails (the workflow to send the e-book) are not arriving.

  3. Upon checking the logs, HubSpot has flagged some sends in the “Spam” folder due to an “Unregistered Site Domain”. Even though I’ve released the sends and verified the contacts, the follow-up email automations don’t seem to trigger correctly to deliver the file to the user.

Does anyone know why this block occurs with external domains on free plans, or how I can properly configure the workflow so the automatic email sends without issues?

congrats on the graduation!

As for the emails getting flagged as spam - if you haven’t connected a real domain in the domain settings, your email provider flaggs the hs-sites123456789 domains as spam.

If you have no domain, you can think of getting yourself one quite cheap at something like godaddy.com, ionos.com or a different webservice. You don’t need much. Just a TLD (top-level-domain) like dayana-rodriguez.com (check for availability) and prefferably at least one email account (which you can then link to HubSpot)

In order to connect the domain, HubSpot got a few “auto setup” things for domains hosted on godaddy, ionos and a few other providers. So I’d recommend to get yourself an account there.

E-Mail connect on the other hand is a bit different but is required if you want to set a different email sending name.

p.s. For learning purposes, you can create a free developer account and set it to enterprise to get almost every HubSpot feature. BUT - don’t use it for your live page. “Big no no” :slight_smile:

The emails most likely don’t arrive as your provider is flagging them as spam and most likely just deletes them

I fully understand your recommendation regarding connecting a custom domain and using a professional email address. However, my current goal is not to use HubSpot for a production business, but rather to learn and practice all its features before investing in a domain and email services.

Currently, my website is hosted on Wix Studio, and I have embedded a form created in HubSpot using the embed code. The form works correctly and creates contacts in the CRM.

Over the past few hours, we have performed numerous checks and ruled out almost all possible issues:

  • The HubSpot form functions correctly.
  • Contacts are created in the CRM.
  • The workflow triggers correctly when the form is submitted.
  • The automated email is published.
  • I have tested with at least five different email addresses, and the result is always the same.
  • I have also enabled HubSpot’s hosted email for sending.

However, the workflow continues to skip sending the email and displays this message:

“This email cannot be sent. Details: Previously unsubscribed.”

In other words, the email is not even sent from HubSpot. Therefore, I believe the issue is not related to the recipient’s provider marking it as spam, since HubSpot blocks it before sending.

My question is whether there might be some internal portal configuration (subscriptions, consent, privacy settings, or any limitation of the free account) that causes all new contacts to be treated as ineligible for marketing emails, even when they have just completed a HubSpot form.

I do not mind using a custom domain when I start working with real clients, but right now I simply need to practice and ensure that a workflow can correctly send one or two automated emails to learn how HubSpot works.

Do you think this behavior might be due to some consent or subscription type settings in my portal, rather than the absence of a custom domain?

this error message happens because the contact has unsubbed from the subscription type of the form.

Example:**

You set the subscription type to “Newsletter” (or something else) in your form. If a user visits the preference-center and unsubs from “Newsletter” or unsubs from all communication, he won’t receive any further emails with this subscription type.

This is because of legal reasons. Just imagine unsubscribing from a newsletter and still receiving it. Nobody wants this :slight_smile:
If you unsubscribe, you don’t get this type of emails again.

To check this, which subscription types your user has opted-in, you can look into the CRM.

If there’s “not specified any preferences”, this user won’t get any marketing emails.

In other words: A user has to actively opt-in (and double-opt-in for best practise and legal safety) in order to receive marketing emails.

If the user selects “unsubscribe me from all” in the preference center, the subscription types will be cleared or set to the message above.

Important note:
The preferences and unsubscribe page are one of a few page types, that are being generated per user → you can’t send a link to a user and expect that if he changes something, it will update his record in your CRM. The user has to actively click on the preferences/unsubscribe link in an email to receive his individual settings.
