Mandatory PO's on Invoices

We have certain invoices where a PO is required and some where a PO is not.
For those where a PO is required it is mandatory that this is added to the HubSpot generated invoice.
I am looking for a way to make the PO field mandatory on an invoice - if possible only when it is indicated on a deal that this is required.

Hey there @LFHardy.

When you ask for “a way to make the PO field mandatory on an invoice,” do you envision a custom property? Or a way to attach a PO to the Deal?

I’m wondering if you could make two custom properties to help manage the PO attachment. Here’s what I mean.

A custom property like, “PO Required” that is a simple checkbox. If this is checked, there’s a second custm property, “PO Attached.”

When a Deal is moved to a later stage (something like Contract Sent for instance), and PO Required is checked YES, then there’s a dependent requirement to check the PO Attached property.

This would not solve the issue that a PO is not attached, but it would help with accountability, potentially.

What the client is looking for, is a way to prevent an invoice being issued
without a PO present when the field is mandatory.
We have a custom PO property on the invoice but not way to make this
mandatory.

I believe the answer above already covers the main point — as of now, HubSpot doesn’t provide a way to make a property mandatory or optional through workflows or custom code.
So, as @danmoyle mentioned, you could still design an internal process to ensure accountability for PO requirements.

That said, I’m happy to help brainstorm a workaround that might suit your client’s needs if you can clarify a few points:

  1. At which deal stage does your team typically create the invoice?
  2. When does the sales team usually request and receive the PO number from the client?
  3. Does your client issue more than one invoice per deal?

With these details, we can explore a practical alternative that stays within HubSpot’s current capabilities.
