Is there a way to quickly change & address the issue of getting out-of-office (OOO) emails from the sender of a marketing email?
Our small team currently sends the majority of marketing emails from the CEO’s account. When the CEO is out of the office, we need to change the ‘reply-to’ address to the next person in charge for each marketing email and switch it back when the CEO returns.
This ensures that leads do not receive OOO notifications from the sender.
Is there a more efficient way to handle this process?
Have you considered working with aliases and not the actual email addresses? For example john@acme.com as alias when the actual address is johndoe@acme.com.
That way, the email would still look like it’s coming from your CEO but not trigger any OOO from them.
You can independently decide whether emails to this alias should be auto forwarded to the CEO or whether multiple people have access to it.
Thank you for your prompt answer, Karsten.
That would work if the sender with the alias is never OOO as well, correct?
And is this done through workflows or how exactly? → “decide whether emails to this alias should be auto-forwarded to the CEO or whether multiple people have access to it.”
@02092 this is something your IT would set up, either in Google Workspace or Office 365 etc – a new email address (shared/alias) which you’ll then use from that point on for sending. It’s not something that can be configured in HubSpot.
