Managing Job Listings Effectively in HubSpot

What is the best way to create, manage, and automate Job Listing workflows in HubSpot for a platform like 247JobsCanada, especially when handling frequent job updates, employer submissions, and listing expirations while keeping data organized and searchable?

Hi @lunaharperk24

Thanks for sharing this — managing high-volume job listings with frequent updates and expirations is a great use case for HubSpot when it’s set up thoughtfully.

I’d like to invite some Community members who are subject matter experts in custom objects, workflows, and data modeling to join the conversation.
@Jonno_Price @Jigar_Thakker @RubenBurdin — hope you’re all having a great week! Have you worked on HubSpot setups for job boards or listing-based platforms? Any best practices for structuring job listings, handling expirations, employer submissions, and keeping everything searchable and automated would be really helpful here.

Looking forward to your insights.
Best,
Victor

Hi @lunaharperk24 ,

HubSpot’s Custom Objects feature provides the ideal foundation for managing job listings as scalable, searchable records, paired with forms for submissions and workflows for automation. This setup handles high volume updates, employer inputs, and expirations efficiently for platforms like 247JobsCanada.

Core Setup

Create a “Job Listing” Custom Object (requires Operations Hub Professional or Enterprise) with properties like Job Title, Description, Employer (associated with Companies), Location, Salary Range, Application Deadline/Expiration Date, Status (Active/Expired/Pending), and Job Category for searchability. Associate it with Companies (employers) and Contacts (applicants) for full visibility in timelines and reports. Build custom dashboards and lists filtered by status, expiration, or category to keep data organized.

Employer Submissions

Embed HubSpot forms on 247JobsCanada for employers to submit jobs, mapping fields directly to the Job Listing Custom Object. Use form automations or a contact-based workflow to instantly create the Job Listing record, set initial status to “Pending Review,” notify your team via task or Slack integration, and associate to the employer’s Company record. Add approval branching: auto-activate if criteria met (e.g., complete fields), or route to manual review.

Automation Workflows

Build workflows triggered by form submissions or property changes: auto-set Expiration Date (e.g., 30 days from creation), send employer confirmation emails, and publish to your site via API or Zapier if integrated. For updates, use workflows on property edits (e.g., “Status is Active and Expiration Date is known”) to notify applicants or repost listings.

Handling Expirations and Updates

Schedule workflows re-enrolling active jobs where “Expiration Date is 7 days from today,” updating status to “Expiring Soon,” emailing employers for renewal, and archiving to inactive after expiration. Create active lists of expiring jobs for bulk actions, and use reporting for insights on listing performance to optimize searchable categories. Test all workflows thoroughly before live enrollment to avoid errors.
