Losing all our Demo meeting scheduler links and related workflows when our Sales Coordinator leaves.

One of our most successful lead gen processes is ‘book a demo/pilot,’ which depends on MEETING SCHEDULER links. I have built out about 7 different ones, used for different geographies, conferences, website, seasonal campaigns.

They are all set up with our Sales Coordinator as owner. She has just given notice - if I deactivate her, I will have days of work to recreate everything, since you cannot assign over meeting scheduler links.

If I have to rebuild our demo booking links on someone else’s profile, it will be different URLs so I’ll have to update countless collateral pieces, email sequences, workflows for notifications/tasks/processing, with the new URLs.

The only solution I see is to get into her User account, and update the email/name to someone else.

Has anyone done this and were there problems?

NOTE: It really would be great for HubSpot to allow Meeting Scheduler links to be a) REASSIGNED to other users and b) CLONED (it is very manual to go through all the settings, wording, personalization and recreate).

The meeting schedule link is tied to the connected email and calendar of a specific user, if that person leaves your company their calendar and email account usually get closed too, hence no easy way to swap these out.

You could always setup a simple redirect company.com/olduser/schedulelink to company.com/newuser/schedulelink.

Actually I just FOUND OUT that I CAN transfer Meeting Schedulers!!

• Maybe this is new? I feel like a bit of a dummy, but I’ll leave this up anyway
• HubSpot’s AI support didn’t seem to know about it when I used Support yesterday and spend a good hour researching.

Today, I got on with my help desk person to work everything out and we went into the Scheduler (super admin), selected meeting schedulers owned by my colleague who’s leaving, and TRANSFERRED them to me.

So it’s all good, super easy in the end.
