Looking to close out associated tasks, upon ticket closures.

Hello,

We would like to make it required, for the ticket owner to close out their tasks that are associated with that ticket, when they move the ticket to closed.

This is to prevent excessive open tasks for old tickets that are closed.

The other option is to auto-close tasks but the thought of this scares me.

Which subscription level are you on? The only workaround that I’m aware of would require an Enterprise subscription.

Alternatively, you could use a ticket-based workflow to notify the ticket owner when there are open tasks associated with a ticket which was just moved to closed.

We are on professional level.

I looked into the workflow options but there is no way to see “open tasks” for a given ticket or “associated tasks”. Only the option to “create”.

I think for now, the notification if they still have an open task would be ideal.

Any specific ways within workflow to achieve this?

Users can now create task-centered workflows.

Why does it matter?

Enhance task automation with greater flexibility and efficiency. Trigger automation directly from changes in tasks, like creation, status updates, or overdue notifications. Establish standard, automated processes for task management. For example, alert a sales manager when specific tasks complete or become overdue, or automatically create tasks in other project management tools when you start tasks in HubSpot.

How does it work?

To create a task workflow:

From the workflows tool homepage, click “Create workflow” and select “From scratch”
Choose the task object on the object select page
Choose the trigger based on task events or properties
Add actions as usual

You can now enroll tasks based on criteria of your liking (‘When filter criteria is met’ > change ‘Filtering on’ dropdown from tasks to deals > under ticket properties find ticket pipeline and status and specify it) and use the ‘Edit record’ workflow action to set a task status to completed:
