In HubSpot, we are having an issue where certain emails are being logged onto deals that are undesired. Let me explain. On each deal, we have contacts associated.
Some of the contacts are the customers and have association labels such as “Main Contract Contact” or “Secondary Contract Contact”. Other contacts associated are not customers, and are labeled with things like “Lender” or “Closing Attorney”.
When we use the same lender or closing attorney on multiple deals, the emails are getting logged on all deals they are on, which is not the desired functionality.
Emails should only be logged to these deals for the non-customer contacts if the email chain is sent through the HubSpot application on that deal record.
Hey @cwsheppard35 per this Knowledge Base articleIf a call, one-to-one email, meeting, note, task, postal mail, LinkedIn, SMS, or WhatsApp message is first logged on a contact record, it will be automatically associated with the contact’s primary company and the five most recent associated open deals (i.e., deals that are not in closed-won or closed-lost deal stages). As far as I know, these would have to be manually unassociated. That said, depending on how the contact is emailing you, direct 1:1 emails should not log until you have replied. Are they typically emailing a shared email address?
I cannot imagine why anyone would want that the last 5 deals would be associated regardless of what they are, however, that does seem to be to be a bit of a ‘preferences issue’ so we either want that to happen or not - I am spending some hours going through all the emails associated with deals and it is not what I wish to spend my time doing, something like this almost negates the reasons for having the system.
