When composing a new email it is straightforward to add any new contacts via the Outlook add-in. When replying to a mail with multiple addressees though, the add-in does not appear, and when responding to all meeting recipients via an Outlook calendar, the add-in does appear, but only for the last addressee, meaning that if I want to ensure that all addressees are logged as contacts in HubSpot, I need to delete them one by one.
Is there a better way to make sure that contacts in either of these circumstances can be added to the database?
Hello @MHuglinOUH
I understand that you’d like to send an email to multiple recipients at once - it’s certainly possible to log and track this email
However, there are a few points to note about this:
- Logging this email will ensure that it is recorded on all the recipient’s contact timelines in your HubSpot portal.
- As described in our guide here, HubSpot will inform you every time one of the recipients opens the email. However, we’re not able to identify exactly which recipient opened your email, so the notification will state “Someone has opened your email”.
I hope this information helps, if not could you please provide us some examples? The more information, screenshots, and details you can provide, the better I can advise on the next steps.
Kindly,
Pam
Hi Pam,
Many thanks for your reply. I think perhaps I didn’t make myself clear enough. My issue isn’t sending emails, or tracking them, it is that I want everybody who I am sending an email to in Outlook to be added as contacts to Hubspot. Even when the Outlook add-in is present, it only checks the last address to be added.
Kind regards,
Marc
Hello @MHuglinOUH, the reason this is happening is because when you send a tracked email to multiple contacts, only one tracking code is added.
“If you send a tracked email to multiple email addresses (including CC and BCC), they all receive the same HubSpot Sales tracking image. HubSpot will still notify you of the email open, but HubSpot may not be able to determine which recipient opened the email.”
I would highly recommend you to please post this idea at our ideas forum (here).
Our product team, who monitors the forum regularly, can read your specific use case and understand why this would be a useful functionality or change. It also helps other customers facing the same issue to advocate for its implementation on your behalf by upvoting on the thread as well.
Kindly,
