I occasionally send out an email through the dashboard where I cc: my senior in order to keep him informed. Then, whenever either party opens the email, I am notified that “Someone” has opened the email. I am told as well that the system can not tell me who opened it, as it was sent to multiple addresses (in my case, both the principal addressee and the cc’d email of my senior).
Nothing seems to be “clickable” in the activity feed. So, right now it appears that I can not trace to whom I sent the email unless I logged the subject line and principal addressee somehow out of the system.
I am a new person to hubspot. I am now notifed that “someone” has opened my email, but I can not tell who, as I have not been logging these emails as I send them.
I asked my senior to stop opening these emails as I want to be alerted to when the prospective client clicks on these emails, and don’t particularly care if my supervisor reads them or not.
So, the jam I am in is that there are a lot of people who have read my emails but I have not been able to find out who, so far.
If this is not resolvable through the control panel or through search, I am going to stop cc:ing my senior and forward the sent email to my senior instead, so as to keep him informed.
(I have seen that when I have only one addressee and no one in the cc or bcc fields, I am notified who opened it and there is a link provided to the email. So this should be workable in the future.)
Is there any tool or search function that will allow me to search within the Hubspot CRM to find these emails that I sent that were opened, as well as the name of the principal receiver of these past emails? I’d like to identify these people in the “Send to” field so as to get their feedback over what I have sent.
Hi @DLocke,
Thank you for reaching out to the Community and I apologize for the delay in responding as HubSpot was observing the annual Week of Rest last week.
I understand that you would like to see a list of contacts who opened an email, is that right please?
Are you referring to sales emails? Or marketing emails? Or both?
I found for you the reply from @craiggrella in this similar post “Creating report that lists email opens” that might help you.
Also the reply from @danmoyle on this post “Reporting on sales email opens and clicks” might be of interest to you!
I also wanted to invite a couple of subject matter experts to this conversation: @Ben_M, @ChrisoKlepke and @Aakar, do you have any suggestions to help @DLocke to have such data please?
Thanks and have a lovely day!

Hello and thank you for your reply.
There are people who I have reached via Hubspot who ask me to send them information. I have been doing this on an individual basis; they are not marketing emails but emails that are writtent specifically to a person in order to reply to questions or information that they have asked for over the phone.
I have also cc’d my supervisor when I do this.
Often a day or a few days later I am notified that “Someone has opened (subject line of email)”. I am not told who in that I have cc’d my supervisor and Hubspot does not track the opener when there are two or more people I am emailing - the principal person I want to give information to, and my supervisor.
Whenever I send solely to one person (and not to my supervisor in a cc) Hubspot locates the email and contact associated with the person I emailed and I am sent a notification stating “(Contact Name) has opened (subject line)” and the Contact name is linked to the hubspot contact record. I can then very easily call the person and ask for their feedback.
Is there a means to trace an opened email that I have sent from Hubspot in the circumstances where I have cc’d my supervisor?
That’s what I want to know.
Thanks!
Hi @DLocke ! I see you’re asking about email tracking.
Here’s the quick answer: no, you can’t identify who opened an email if it was sent to multiple people.
Email tracking works by adding a tiny, invisible picture into the message. This lets the email and HubSpot know when someone opens that mail because this little image gets downloaded at that moment.
But here’s the thing: if you send your email to more than one person or even if it gets forwarded… well, HubSpot only knows that someone opened it. Since everyone receives the same image, any of them could have triggered the notification.
So in conclusion, it is impossible to tell exactly who among all recipients has opened your mail. The only way around this would be sending individual emails instead of group ones.
