List of all deals closed-won with export for invoicing

Hi all,

I am new to HubSpot and I am working as a CFO and have the responsibility to get all closed-won deals sent for invoicing monthly. So i am trying to make a report to consist of;

Filter; Stage = Closed-won, Date = After 1.1.2022

Fields;

Close date monthly

Deal name
Company name (Primary)

Orgnumber (unique company ID)
Productname, number of licenses and price
Totalt contract value
Email to contact
I have looked at contacts > lists and sales > deals view. But none of these covers my needs to get full info for excel export for invoicing. So i have used custom report builder with deals as primary data source and companies, contacts and tickets as data source aswell.
So to my questions;
1.Is the custom report builder the best way to get full data on deals?
2.When i build the list i get several instances for the same deal/deal-id because of more companies are linked to the deal. I would like to have a column with primary company as it is confusing now how is the legal counterpart. I cant find a field called primary company. Is there a better way to get a full list of deals or any filter i could use?

Hi @krodkodille19,

Yes, generally the report builder is the best option here. It gives you the most flexibility and lets you export the data easily.

Regarding your second question, could you share the exact report measures and filters? Have you in some way marked the primary company as such, e.g. through a custom company property? If not, then you probably won’t be able to filter out the secondary companies, unfortunately.

Got it. The association labels are fairly new and still being introduced into all features in HubSpot. Until then, you cannot filter HubSpot reports by primary company yet. I’ve played around a bit and you can mark all primary companies as primary companies with a contact-based workflow (I know, but it’s the only way I can think of to access the label)…

You’d create a Primary company company property and use this workflow to mark all companies as such. You can then filter your report by this new company property.

Thanks for your input. At least it was not straightforward and overlooked.
I am not sure if i totally follow what you do. I am not the admin so i dont wanna ruin anything with creating workflows only for my purpose.
So another way then maybe; So i have certain deals with more than one company associated with it. How do i know who is the legal counterpart for the deal? Is possible to get info from Quote or somewhere to make sure the associated company is the same as on the signed contract? I will also need the other associated companies for sales reporting, but i would like to have those as columns instead of a new line for the same deal if you understand.

For the report, I’m not aware of any other way than the one described. Reports can simply not be filtered by association label yet, hence my workaround.

Regarding your second question, it is not possible to automatically pull this information from a quote either unfortunately, at least I’m not aware of any such feature. In that sense, the type of company would have to be documented on the company record, within a company property. Otherwise it cannot be used in reports for filtering or breaking down a view.

Great! Thanks a lot. Exactly what i needed :slightly_smiling_face:
I still get more rows in some cases for same deal. It appears because there are two different mails associated with the deal. Does not help to remove email as a column.
So looking for some way to have only one row per deal. Not a big issue, but would streamline a bit.
It is the exact same deal with the same information, besides email.

Regarding your question, is that after using the beta feature or without it? This is still being rolled out and might not work perfectly yet.
