Thank you for all the help you’ve shared for the last year. Here’s to another full of great prospects and growth :).
I wanted to ask for help with a very specific project I’m building, which I cannot figure out to do.
My idea is the following. I’m making an active list for my Sales Team. This list contains all their Clients that haven’t been contacted by them in the last 30 days. This way, they can check it daily, and it a new company shows up, it means it’s been 30 days since they last called and they should make the contact.
At first I thought it would be easy, just check if “Last Activity Date” is over 30 days and that should be it. But unfortunately, Hubspot doesn’t track the last activity made by a specific member, instead, calls or meetings scheduled by any member.
Because of this, I can’t fill up the list I’m making. If another representative calls the company, it counts as a new date and resets the “30+ days” count.
I tried to filter it by “Activity Created By X”, but I can’t mix both properties in any filter. It only checks if the company has an activity made by a specific member, and the last date done by any member.
I can’t make it so no other representative calls the company, because billing and CS also call, and CS is part of Sales, so I can’t create another Hubspot team.
I’m starting to run out of ideas, and I have no idea how I can filter by mixing both “Last Activity By” and “30+ Days with no Activity”.
Any idea how I can bring this project to Fruition, or is it one of those things that sound basic but Hubspot can’t do?
Thank you for your input, and have a great 2025!
Hi @RaimundoEstela1 and Happy New Year to you too!
Sending you my warmest and best wishes for 2025!
Really glad to see that the HubSpot Community helped you last year, thanks for that!
Now regarding your question, for information, I’d like to share these articles:
- View and filter lists
- Determine filter criteria
Also, I’d love to put you in touch with some of our Top Experts for this specific use case:
Hi @danmoyle, @SanjayKumar and @HubSpot_Corey do you have suggestions to help @RaimundoEstela1, please?
Have a wonderful day and thanks so much!
Best,
Bérangère
Using both “Last Activity By” and “30+ Days with no Activity” as filters would be the best approach here. I have created list and it is working for me.
Here’s how you might approach it:
First filter: Create a list of companies where the “Last Activity Date” is more than 30 days ago. This will show you companies with no activity in the past 30 days.
Second filter: Create another filter specifically for the companies where the “Activity Created By” equals your sales rep. This filter will show you only companies where the sales rep has not been involved in activity in the last 30 days.
This right here from @SanjayKumar should do the trick, @RaimundoEstela1 -- although I wish the functionality were also in COmpany index views. But I suppose you could make the list and just use that list membership for the Company index view. Anyway, hope that solves it!
Unfortunately, this example is what I had already built, and it doesn’t work as I need to. If I use these filters, the list will show all contacts that have had an interaction with my sales rep, per the “Activity Created By” part, but the 30 day filter will consider ANY interaction from Any other Sales Rep.
If accounting (another team) called this contact today, the Last Activity Date will reset to today, no matter when the call from the Sales rep was made.
Hi @JOsrow,
Thank you for posting to the Community!
At this time, we do not have a “Last Contacter by specific member” property however, @SanjayKumar’s Accepted solution above is a great workaround!
I would also recommend to post this in our Ideas Forum here, where our Product Team regularly reviews suggestions and other users can upvote or comment on your idea to help prioritize future improvements.
