Is it possible using Hubspot CRM solution for multiple domains and accounts?

Hi all,

I work in a company which has a small portofolio of 3 different brands and we would like to have 3 CRM systems (so 3 accounts with different customer databases and 3 different Email senders) . Does Hubspot offer a solution for which we can manage separately the CRM/Marketing systems for each of the 3 different domains?

The answer is basically yes.

To use the marketing tool with multiple domains you have two choices:

  • One enterprise portal - this lets you publish content to multiple domains but the contact database, CRM, and analytics are all shared
  • Multiple basic or pro portals - one portal for each domain keeps reporting and contacts separate

Whichever way you go, each portal can have a CRM instance attached, so you could share one or have separate ones.

If you have multiple portals, you can use the same account to login to them all and switch between them.

Our company is also trying to decide between an Enterprise account and three seperate portals for three lines of business. Beyond the cost factor, how difficult is it with an enterprise account to segment contacts for workflows, emails, etc? I’m sure I will need to build custom properties in order to keep them in “distinct buckets” but will those same custom proprties allow me to trigger workflows and emails?

Also, for reporting and analytics I do not think I can filter off of a custom property if I want to see metrics for one line of business at a time. Is that correct?

Segmentation of contacts (for workflows, emails, etc.) is totally possible in an enterprise portal, but not totally easy.

As you say, you will have to create custom properties to separate contacts into buckets - and then use them religiously to ensure data consistency.

You can do quite a bit of custom reporting on custom contacts (using the dashboards and reporting add-on) but the built in analytics tools are currently hard coded to give an aggregate view - so you can’t look at traffic and so on for specific segments. This may change in the future though.

But, if you have separate portals, everything is in separate buckets, and can be reported on separately, from the get go.

If the three lines of business need three different domains/websites, this would nudge me toward having three portals.

I am using HubSpot under that exact scenario. I would say that HubSpot is not currently set up to natively handle an enterprise environment with multiple domains and distinct contact databases. However, you can find work-arounds for much of what you need to do.

A typical enterprise setup for a CMS and lead management system would have the ability to easily distinguish between segmented lines of business. However, as Phil said, HubSpot’s Enterprise account intermingles nearly everything (the exceptions are Website Pages, Landing Pages, and Blog). If you get separate portals, then you aren’t able to easily share assets, templates, custom modules, workflows, contacts, or anything else that crosses brand lines.

If you keep everything in one portal, it’s very difficult to keep emails, workflows, lists, CTAs, personas, reporting, user access, and every other feature properly segmented. You have to be extremely diligent about developing a naming & contact property scheme and sticking to it.

Speaking from personal experience, I would agree with Phil and recommend separate portals if you need three exlusive sites and contact databases. You’ll run into inefficiencies either way you go, but I would think it’d be easier to find work-arounds for the limitations of separate portals instead.
