Is HubSpot Adoption More Difficult Than HubSpot Implementation?
One thing I’ve noticed over the years is that most discussions about HubSpot focus on implementation.
People talk about CRM setup, workflows, pipelines, integrations, reporting, automation, and data migration. All important topics, of course.
But I’ve started wondering whether implementation is actually the easier part.
In many cases, the technical setup can be completed in a matter of weeks. The bigger challenge often comes afterward: getting people to consistently use the system the way it was designed.
A sales team may have a perfectly configured pipeline, but opportunities still get updated at the last minute.
Customer success teams may have automated processes in place, but important notes still end up living in spreadsheets or inboxes.
Marketing teams may build great reporting dashboards, but stakeholders continue requesting information outside the system because that’s what they’re used to.
None of these are really technology problems; they are adoption problems.
What’s interesting is that many organizations don’t realize they’re dealing with an adoption issue at first. They assume they need more automation, more customization, or additional tools, when the real challenge is helping teams build habits around the processes that already exist.
I’ve also seen situations where a company invests heavily in configuring HubSpot, only to discover that different departments have completely different expectations of how the platform should be used.
- Sales wants speed.
- Operations wants consistency.
- Leadership wants reporting.
- Marketing wants attribution.
Everyone is working toward the same goal, but often from very different perspectives.
That’s why I’ve come to believe that successful HubSpot projects aren’t just about building the right system. They’re about creating a system that people actually want to use every day.
The most effective HubSpot setups I’ve seen are often not the most complex. They’re the ones that make it easy for users to do the right thing without adding friction to their workflow.
