There is a big problem with this. We often run into times where we send an invoice, collect a deposit, then while doing the project, we need to add items to the invoice, or charge a fee due to credit cards. We need this to be an option.
It CAN be done in QBO, but if we do it, the sync to Hubspot is broken because Hubspot blocks edits even if its done by the sync.
Why is Hubspot blocking something that an accounting software does not? There is no reason to make something un-editable no matter what the circumstances are. I don’t understand building a limitation into your software for no reason at all.
As a new Hubspot user and fan we have learnt the hard way. We have made an error and need a paid invoiced which was marked manually paid deleting. We have found out you can’t, it is really disappointing.
This is a tricky area for HubSpot, matching invoicing feature parity with each integrated accounting package.
For example, Xero Accounting (soon be integrated, like QBO) allows limited editing of paid invoices. Xero allows changing line item descriptions and ledger account, but prevents overall changes to paid invoices such as editing amounts or adding/deleting line items. The Xero solution requires you to remove all payments from the invoice, edit the invoice, and then re-apply payments.
In your case, QBO does allow editing of paid invoices, which is very flexible but is not a universal feature for other accounting packages.
Today, HubSpot is even more restrictive than both, as you cannot edit paid invoices and you cannot remove a payment from an invoice. I am not sure how the Xero integration will handle that scenario.
As a workaround for your use case, consider issuing more than one invoice, for example the first invoice (deposit) is say 50% of the total, and the second invoice is the remaining 50% plus adjustments and fees.
We apply that multi-policy in how we use Xero. We never edit a paid invoice. We issue an initial invoice, making it clear that the first invoice is a % or a deposit, of the total, with a due date to be paid in full.
No doubt there are more HubSpot changes to come, as invoices are still relatively new, and the deeper integration with QBO and Xero is a longer-term project relying on customer feedback such as yours.
