Hello! I’m looking to discover if there is an optimal solution for a sales team to store internal documents used in the sales process within HubSpot. We have Sales Professional, CRM, CMS, and Marketing Hub.
The desire is to keep the Sales Team in HubSpot, without the need to access a range of resources outside of the HubSpot environment. For example, we store Excel-based internal profitability calculations on a local server; we have a list of web links to a range of useful tools; we have SOPs; and other information sources that the team needs to reference on a frequent basis. However, all of these documents/links are stored in a number of different locations.
I understand that the Documents feature in HubSpot is really intended for sharing files with customers through the sales process, and for tracking. However, we’re looking to store/manage our internal-only resources within HubSpot as well for some effeciency gain and less “searching” for the right file in the right place.

Storing Excel Files & Documents : You can upload Excel files, PDFs, and other document types using the Files feature in the Library section. I recommend organizing them into folders to keep everything structured and easy to find.
SOPs & Guidelines : For internal documentation related to business processes, you can use the Playbooks feature. This allows you to create structured documents with embedded links, notes, and open fields for easy reference.
Sales Resource Page in HubSpot CMS : If you’re using CMS Hub, you can create an internal, private webpage to centralize all important links, documents, and tools in one accessible location for the team.
HubSpot’s Knowledge Base or private Wiki pages might be a good option for organizing internal sales resources. You could also use the Documents tool combined with Cookout Restuarant team permissions or link out to a centralized Google Drive directly within HubSpot for easy access.
