Information in Companies vs Deals

Hi there

Some guidance on this would be appreciated.

I want to get an understanding of what information we should be recording in companies versus deals. To give an example, at the moment, our emails and call logs are recorded within the company but yesterday I tried to run a report on emails sent vs deal stage vs call outcome. So in that case I had to touch on all of companies, activities and deals which, from what I can see, you can’t do in the reports (unless someone can correct me).

Going forwards we want to be able to look at a granular level of how certain activities (eg calls/call outcomes/emails) are impacting on deal stages and so on. Does this mean that ideally, all our email correspondence and specific customer information should be in the deal as opposed to the company? Should company just be reserved for the basic things like web domain, staff numbers etc?

If that is the case, is there a way we can transfer over the logged emails and logged calls (calls aren’t recorded on Hubspot, just manually logged) from company to a deal?

Any advice much appreciated as I’m still finding my way around.

FYI we are on the professional sub level if that makes any difference.

Hi @dealmaker1,

In a Professional subscription, you have access to custom reports and that includes cross-object reports and the new custom report builder. The report builder has its limits but most of the times, if you’ve decided to store certain information on the company record, a cross-object report will allow you to filter your deal analysis by a certain company property: Create custom single object reports

Generally, I’d recommend to store all information related to the current sale in the deal record. If it doesn’t have any relevancy beyond the current sales process, it shouldn’t be on the company record.

Fortunately, when you log an activity, you should always have the option to not just associate the activity with the current record (e.g. contact) but also all related records (company and deal), see bottom right corner in my screenshot:

On top of activities, you might want to think about company properties and deal properties. Good thing is: If you notice that you want to copy values from a certain company field into a deal field or vice versa, that’s possible thanks to the workflows included in your subscription. (workflow action “Copy property value”)

I hadn’t appreciated workflows could work in that way - I assumed it was just for email type automation.

So one of the issues I have is that certain properties in company records should probably now be kept in the deal record instead. As an example, one of them is a custom property that states where the introduction came from (so linkedin, direct, outreach etc). A number of company records have this property (and its populated) but it isn’t in the corresponding deal, although the property has been cloned to there. If I wanted to quickly copy them over - and also to ensure that in future if someone perhaps out something in the wrong place (ie company and should be in deal) then would workflows be the best way to achieve this?

Hi @dealmaker1,

I recorded the necessary steps for a company-based workflow, see below. Replace the Name property with your own properties.

Keep in mind that this will copy the information from a company to all associated deals. If you have a 1-to-many relationship between companies and deals, the company values will be copied into all associated deals (and unfortunately there is no workaround to avoid that).

I understand your point regarding company information being copied to all associated deals. Luckily for us, a company should only ever have a single deal associated with it so we should not have that issue but it’s very good to know.

Hi @karstenkoehler thnaks I followed your advice and got the workflow setup.

One more question if you don’t mind. I managed to get it for work for an individual company anid associated deal by manually selecting it.

I have multiple deals whereby I need to instantly just copy across properties to associated deals. In this section, what would be the best setup so that it,

1) automatically updates the property for all companies across to their associated deals that already exist

2) automatically updates them in future - so whenever a new deal is created it automatically copies that property across

Could you share a screenshot of your workflow, including your enrollment criteria? Normally, you would see this on the workflow review page:

This is where you can select whether you want to turn on the workflow for all companies who meet the criteria from now on – or whether you also want to backfill existing records.

If you’re not seeing this, you probably didn’t set any enrollment criteria. See my screen recording example above; my workflow will only enroll company records whose Name is known. Only for these records, will the Name be copied into the deal record.

Yes I hadn’t set the enrollment criteria - so I’ve fixed that now

And I assume that if I wanted one workflow to copy over multiple property values, then I would just keep adding them like this? (I’ve just quickly typed out the below as an example to illustrate)

Hi @dealmaker1,

Generally yes, that would work, with one small caveat.

If your enrollment criterion is “Company property X is known”, for a workflow that copies values of the property X from company to deal, then a following step that copies values of the property Y from company to deal would only do so for companies whose “Property X is known”. Because you’re only enrolling companies with “Property X is known”. There might not be a difference but there could be.

If you want all companies in your workflow, your enrollment criterion would simply be “Create date is known”. This will enroll all companies.
