I’d like to share feedback based on a recent customer experience with the 120-day deactivation and 90-day purge process for free HubSpot accounts. The system worked as expected and the customer received the reminder emails, but they still felt surprised when the portal was permanently deleted.
To help reduce confusion and improve clarity for users, I’d love to propose two enhancements to the inactivity notification emails:
1. Stronger emphasis on the finality of data loss
Users often skim emails or assume deleted data can be recovered later.
Adding clearer, more prominent language such as:
“After 90 days, your account and all data will be permanently deleted and cannot be restored,” could help set the right expectations and prevent misunderstandings.
2. Add a one-click short extension option
A simple link or button in the email allowing users to instantly extend their portal by (30–60 days) would reduce friction for users who want to keep their portal but may not be logging in regularly.
This could prevent accidental loss of access while still maintaining the existing inactivity policy.
