Importing Line Items to Existing Deals

Hello,

I am having an issue importing line items to existing deals. I have done this before and for some reason it is not working. I have the following column headers:

Deal Record ID, Deal Name, Product ID, Product Name, Term, Billing Frequency, Quantity, Price

When I import the data I receive the following error, but I do have the record ID!

But all is mapped correct:

There was a similar thread in the German community a few days ago and unintuitively, HubSpot support confirmed that one needs to choose that only new products should be imported. In the UI it sounds like that would create new products, but it seems to refer to creating new products on a deal.

Can you check and see if that solves the issue?

I tried this and still received an error. After talking with HubSpot support it turns out it was the “Term”. There is no record in the HubSpot knowledge base stating that the Term must follow the “P12M” naming convention to import correctly. Once I updated this field, it imported successfully! Hopefully they update the knowledge base. Thanks!

How to Successfully Import Line Items and Associate Them with Deals

Import Setup

When setting up your import, make sure to select “Deals” and “Line Items” as your objects.
Also, ensure that “Create and update line items” is turned on. A common mistake is that many users confuse Products with Line Items and only select “Update Line Items”, thinking this will prevent new products from being created. However, Line Items are a separate object that reference product information rather than duplicating it. For the import to work, you must create line items on a deal.

Required Columns in Your Import File

Your CSV file should include the following columns:

  • Deal Record ID → Ensures line items are assigned to the correct deal.
  • Line Item Name → Name of the product you want to add to the deal.
  • Line Item Quantity → Number of products being added. If adding multiple of the same item, combine them into a single row—separate rows for identical items may cause import errors due to duplication.
  • Line Item Price → If the product has a unique price, enter it here. Otherwise, leave this blank to pull in the default product price from HubSpot.
  • Product ID (Product Record ID) → Associates the line item with an existing product in your HubSpot product library. Just copy the Product’s Record ID and sync it to Product ID in the import.

Why You’re Getting an Error with Product Record ID

This issue arises because you’re importing Line Items, not Products. Think of Line Items as a “wrapper” that holds product information inside them. If you try to import using the products Record ID alone, HubSpot will return an error because the system is looking for Line Item IDs instead. As no Line Items have that Record ID, it will not import.

Final Note

Once the import is complete, keep in mind that importing Line Items does not automatically update the Deal Amount. You’ll need to update it manually or generate a quote for the new total to reflect properly.
