Hi! Looking to sign up for Hubspot but cannot get the help chat people to answer one simple questions… They said I had to ask here!

SO… Is it possible to Import Estimates from Quickbooks to Hubspot?

A few other posts I foun indocate that this suggestion was given to the developers over the years BUT… Have they fixed it?!

This is the only thing holding me back from making the switch!

Hey @aPlusElectrical! So yeah as you might know HubSpot’s official QuickBooks Online integration does _not_ support importing estimates—only customers, products, and invoices (and invoices sync into contacts and not deals, this was a past struggle I had).

I think the best way to go is using custom code here or a third party tool like Zapier and create estimates as a custom object in HubSpot. Not sure if you can run a massive export of estimates in QBs but if this is possible I would do that and import those into HubSpot as custom object and manage associations from there.

Or you can use a third party app like Zapier and follow the following steps:

- Use QuickBooks estimate created as a trigger.
- Create or update a custom object or deal in HubSpot.

If you need support on building this we are a HubSpot partner that can provide support, will leave my info below - Hope this helps!

Hey! Totally get your frustration — QuickBooks and HubSpot should _talk_ better by now, right? So, as of now, **HubSpot does not natively support importing “Estimates” directly from QuickBooks into HubSpot**. While the QuickBooks-HubSpot integration (either via HubSpot’s native integration or third-party tools like PieSync or Zapier) supports syncing contacts, invoices, and payments, it still doesn’t pull in _Estimates/Quotes_ from QuickBooks into the Deals or Quotes section of HubSpot. This limitation has been raised for years, like you said, but unfortunately, HubSpot hasn’t officially rolled out that specific feature yet.

That said, there _are_ workarounds — you can use custom API integrations to pull in estimates from QuickBooks and sync them as custom objects or deals in HubSpot. It requires some technical setup, but it’s manageable.

**Cloudify can help you with this exact integration** , ensuring automatic deal-to-invoice/estimate conversion in QuickBooks.

Thank you! Can you tell me more about the technical aspect of this
possibility?!
Is this something I need to hire out or can I (medium technical skills) do
this on my own?
Is this the process you suggested Cloudify could help me with?

**The short answer is:**

**You are correct - HubSpot still does not natively support importing QuickBooks Estimates (Quotes) directly into HubSpot Deals or Quotes.**

**While third-party apps and middleware like Zapier offer a basic workaround, the better, more cost-effective, and fully customized solution is to build a direct API integration using the HubSpot API and the QuickBooks API.**

**This approach gives you complete control over the data mapping, allowing you to automatically create HubSpot Deals or even HubSpot Custom Objects whenever an Estimate is created or updated in QuickBooks, which is superior to the limited functionality of off-the-shelf connectors ✅**

The long answer is:

The reason you’re finding this limitation has persisted is that HubSpot’s official focus for its QuickBooks integration is on post-sale financial data like `Invoices` and `Payments`, not pre-sale transactional data like Estimates.

Relying on a third-party app or middleware, while quick to set up, introduces recurring subscription costs and often forces you into rigid data models that may not perfectly fit your sales process.

This is where a custom API integration is a better and often cheaper long-term solution.

You would use the QuickBooks API’s Webhooks feature to set up a subscription that notifies your server whenever an `Estimate` is created or modified.

Your server, which could be a simple script hosted on a platform like Google Cloud Platform (GCP) or a serverless environment, would then receive this data payload.

This script would then use the HubSpot API to automatically perform one of two actions: either create a new Deal in your HubSpot pipeline, populating it with the Estimate details, or create a record in a dedicated HubSpot Custom Object named “QuickBooks Estimates” and associate it with the correct Contact and Company records.

The key benefit is customization - you decide exactly which QuickBooks Estimate fields map to which HubSpot properties, ensuring your data is clean and actionable for your sales team.

_Although this requires an upfront development cost, it quickly becomes more cost-effective than ongoing subscription fees for middleware._

**While Google Tag Manager and a server-side tagging tool like Stape are typically used for website tracking, they represent the modern methodology of routing and transforming data outside of client browsers, and this same architectural philosophy applies here: using your own secure server to mediate data transfer between the QuickBooks API and the HubSpot API gives you maximum flexibility, data fidelity, and control over your unique sales-to-finance process.**
