Import - Assign Contact to Company

Hi everyone,

I want to import an Excel file that contains both company data and contact details. You can think of the file as being structured like this:

  • Columns A–E: Company data (e.g., company name, postal code, city, etc.)
  • Columns F–I: Contact details (e.g., salutation, name, job title, NO email address)

Accordingly, a single company can span multiple rows if there are several contacts associated with it.

I first prepared the file a bit, for example by adding a column for the company domain.

I then imported a portion of the file for testing (contacts and companies combined in one file). The assignment of contacts to their respective companies worked fine; however, I noticed that a large number of duplicate contacts were created. This is because some of the contacts already existed in the CRM, imported from a different source prior to this import. In some cases, the same contact appears twice within the same company record if the first instance had already been assigned to the company beforehand.

Does anyone have an idea on how I can prevent these duplicates when no contact email address is available? Is there another way to deduplicate contacts if the email address is missing? I look forward to your suggestions!

Hi @danhighmountain,

You can only get rid of the duplicates if the import includes the record ID of contacts that already exist in HubSpot — or their email address. Otherwise, HubSpot has no way of knowing that they are actually duplicates.

This typically means exporting all contacts from HubSpot and then doing some VLOOKUP work in Excel or Google Sheets to assign the correct email address or record ID to the contacts in the import file.

Best regards!
