We would like to use HubSpot Files as a curated image library from which our sales team can quickly find and insert relevant images into emails.
Our images already contain structured IPTC/XMP keywords. However, when images are uploaded to HubSpot, these keywords are not imported into HubSpot’s searchable Files tags. HubSpot instead generates its own AI tags.
HubSpot Support has also confirmed that although Files tags are searchable in the file picker, the public Files API does not provide a way to populate or update them.
This makes it impractical to manage a large, professionally tagged image library in HubSpot.
Suggested solutions
Ideally HubSpot would support both:
-
Import IPTC/XMP metadata on upload – with embedded image keywords optionally becoming HubSpot Files tags.
-
Expose Files tags through the Files API – allowing tags to be created, updated and managed programmatically.
Either capability would make it possible to maintain a controlled image taxonomy at scale.
Example use case
We may have hundreds or thousands of project images categorised by attributes such as product type, material, finish, illumination method and application. A salesperson could then search the HubSpot image picker for something such as “halo illuminated letters brick” and quickly find suitable examples to include in a customer email.
AI-generated tags are useful, but they don’t replace controlled, industry-specific metadata that a business has already created for its image library.
This would make HubSpot Files considerably more useful as a scalable image asset library, particularly for sales and marketing teams with large existing collections of professionally categorised images.
