Impact of Changing Sales Stages

I would like to replace the current sale stages we have with more relevant ones.

My worry is that by doing so, many of our deals won’t match with the new stages. This is not an issue if the deal stage just goes blank, but I would like to know if there is a risk of these deals disappearing?

Hi @DSmith50,

Deal stages cannot be archived while there are still deals in there. You would either rename them or you’d have to create a new one, move the deals to the new stage, then archive the old one.

I am happy to move the deals to the relevant new stage. MY worry was that as soon as I change the sales stages, will I lose visibility of the deals that have deleted / replaced sales stages?

As long as I can still see the deals in HubSpot after I change all of the stages, then it will be easy to apply the new stage.

I’m not sure I’m following. If you move deals to a new stage, why do you want to see which stages they were in before? If that’s what you’re worried about, you could, depending on the volume, add notes to those deals or store this information in a new custom property.

I am not interested in seeing what the old stage was for each deal. I just wanted to make sure that if I change the default sales stages for a particular pipeline, I will not lose visibility of all of those deals that no longer have a valid sales stage because it no longer exists. As long as the deals are still showing, then we can apply to new stages.

This is a matter of following the correct order. Create the new deal stage, move deals, archive deal stages. HubSpot won’t let you do it in another order.

Once a deal is moved to a new stage, it will of course show in the new stage. Once you have moved all deals to their new stages, the old stages should show as empty in the column view.

My plan was to completely change all of the deal stages for a specific pipeline.

If I do this and then go back and look at each deal in that pipeline, I assume the deal stage will be blank and I will then have to choose a new stage?

Let me provide more detail to this:


Create the new deal stage, move deals, archive deal stages.


Let’s assume you have these deal stages currently:

A

B

C

D

If you want to move deals from each stage to an entirely new stage, you would first add these new stages, for example:

A

X

B

Y

C

Z

D

You would then move deals from A, B, C, D into their new stages X, Y, Z, either manually one by one or by bulk editing them.

Once all deals are moved, A, B, C, D should be empty. You can then archive the deal stages A, B, C, D. Since they’re empty, no deals are affected by this. If they weren’t empty, HubSpot wouldn’t let you archive them.
