HubSpot plugin for OUtlook too big - teams dont want to use it

Hi,

We ask our sales team and after-sales team to have the HubSpot plugin in Outlook always on, so all their emails are saved and tracked in our HubSpot Account.

However, many of them tell me that they dont like to use it because the plugin is too big on their screen, takes too much place.

Is there a way to have the plugin working without the plugin window’s opened?

Hi @Maragosta,
Thank you for asking the Community!
I could see in this article “Customize your HubSpot Sales Office 365 add-in settings” that if you unpin it, you should still be able to use it but it won’t take this much space. Would that help?
I’d be happy to put you in touch with some of our Top Experts: Hi @LouiseHare, @GeorgeBThomas and @franksteiner79 do you have other tips to help @Maragosta, please?
Thank you very much and have a lovely day!
Best,

Hi @BérangèreL thank you for your response.

Apparently, the windows’ plugin needs to be opened so that emails can be logged (In the article it’s written : "For an email to successfully log and track, the add-in task pane must be open when you send a logged or tracked email. ").

So my question was actually : is there a solution for emails to be logged while the plugin’s window is not open. It takes too much place, the teams always close the windows so we lose all the logs and trackings.

I have the same issue!
If I “pin” the add-in, it automatically logs emails, generating the BCC.
Pinning the add-in takes up a lot of screen real estate (completely blocks my To Do task pane / sidebar for example).
It appears that there is no way for the HubSpot Sales add-in to be “on” without the big add-in sidebar visible.
And without it being “pinned” - it doesn’t automatically open when I compose other new email messages.
In addition, when you “X” the HubSpot Sales pane, it doesn’t just close it - it also “unpins” it so the add-in will not automatically activate for future emails.

This is a big issue for adoption. Please consider some way for the “pin sidebar” setting to be separate from the “auto-log my emails” setting. 99% of the time on my team, we just need an unobtrusive way to silently and conveniently track the emails in the background and log them to the customer record.

I just had an exchange with HubSpot support about this.
I determined that the best thing for our small business was to activate automatic logging at the organizational level, using Microsoft 365 (Exchange) Admin to create a bcc rule for all external email.
The HubSpot bcc logging email address is common across the organization. So we can have any email to an external domain automatically bcc the proper HubSpot logging email address (with the same exclusion settings configured in HubSpot / 365 Sales Add-In).
As long as users are on HubSpot and connect their personal email to meet the requirements, and we have this rule set up in our organizational email, every email will log, even if people forget to activate the add-in, or they don’t like how much screen real estate it occupies. They still have the option to activate the add-in, of course, to get more HubSpot power / functionality in their email.
The other nice thing about this: if a user isn’t yet configured for HubSpot, that’s fine - their email simply won’t log, and they won’t get bombarded with failure auto-reply messages from HubSpot.
This makes it much easier for us as an organization to manage and onboard users.

Has this issue been solved yet? The HubSpot Sales add-in takes up so much of my screen in Outlook that it’s hard to use my laptop for Outlook work. I’m using Outlook Classic for desktop most of the time. How do I unpin the HubSpot Sales add-in so I have room to work and still keep the add-in logging and tracking emails?

What a fail. The new email screen design reduces productivity by Hubspot stealing up ~20% of the workspace with non-essential content. For users who rely on working inside HubSpot, this adds no value and risks pushing adoption back to Outlook instead of strengthening use of the platform.
