Hi! We’ve recently started using Hubspot’s Meetings functionality and I’ve noticed that when a contact books a meeting, their lifecycle stage is set to MQL automatically. I can’t figure out where to edit this behaviour and I can’t find any documentation on this. It only happens when the individual has no lifecycle, or is before the MQL stage (which is good), but I don’t want it to happen at all. I have workflows that determine when a contact should be set to various lifecycle stages.
It says “Forms”, but this is not a custom form in the Lead Capture > Forms section. I can’t find anything in the meeting settings either. Appreciate any help, thanks!
I totally get the frustration with unexpected changes in HubSpot. I had a similar issue with Meetings and the lifecycle stages a while back.
What worked for me was tweaking the meeting link settings. Go to your Meetings tool, find the specific meeting link causing this, and click on “Edit.” There should be an option related to updating lifecycle stages. Uncheck that box, and it should stop automatically setting the lifecycle stage to MQL.
I stumbled upon this solution after a bit of trial and error, so I hope it works for you too.
Hey @saqibcsa thanks for your reply! This is what I thought I would have to do, but I cannot find this setting for the life of me. Here is a 1 min video of me scrolling through my meetings link page (which I don’t use so it’s not set up), but it looks exacty the same as the ones that my customer facing team uses. I can’t see anything to do with setting a lifecycle stage automatically, can you?
As per my Knowledge if you are using a Form you should check it in the form’s settings Go to marketing > Lead capture > Forms edit your form settings which are being used on your website on meeting links in the options tab view this option if its set to MQL you can change it.

Thanks for your reply too @Jigar_Thakker! I am not using a form for this. It pops up in the contact record property history as “Forms: Meeting link …” but I think this is becasue somehow in Hubspot’s back end, they are treating this like a form. See there is this mini form page within my meeting link settings page, but there is no where in here to set the lifecycle stage automatically like in the real forms page.

Is MQL the first lifecycle stage you have set?
Currently all meetings booked will set a contact to “lead” which is the default first lifecycle stage option, if you’ve removed or replaced this “lead” one with MQL my assumption here is this is why meetings is now setting your submissions as lead.
Thanks for this insight @TomM2. Yes, we did switch lead to be MQL, so this makes sense. But I really don’t want it to behave in this way. It messes up a lot of my other automations when it comes to moving leads through the lifecycle stage. In many other Hubspot settings there are ways to customize when a lifecycle stage should be set automatically or not (like what @Jigar_Thakker described below with the Forms). Do you know if there is any way possible for a Hubspot meeting to not set someone as a Lead (or MQL in my case)?
I’m not aware of this within meetings unfortunately, the only way I could see to do this would be to trigger a workflow based on the meeting and then set the lifecycle stage through that, which would overwrite the MQL one.
Ah yeah, thanks for this idea @TomM2. I really don’t want to have to make a workflow for every single one of my users that are having meetings with many paths to set leads back to SL or PL or ML, etc. (as MQL isn’t our first stage). But this might just have to be the way!
@genevagordon that’s interesting. I would have thought you were looking to group every meeting into a single lifecycle stage. Out of curiosity, do you have a lot of different outcomes expected within the lifecycle stage for meetings booked? Regardless of wether or not you had replaced the default lifecycle stage you would run into this issue to be honest! It sets itself to “lead” by default.
It does sound like you need custom lifecycle stages set based on the user of the meeting booked though!
@TomM2 For the full picture, at first we started with a variety of custom lifecycle stages for qualified leads (this is when the default Lead became MQL), but then way later on we decided we wanted to add in ML, PL, and SL before the QL stages. If I was to provide a suggestion to anyone looking into this, it would be to always make sure the default Lead stage stays at the very first one.
You’re completely right that regardless of us swicthing Lead to MQL, a problem would arise. We do have a variety of outcomes from the meetings. The main case I am trying to solve for is if a brand new person or ML, PL, or SL books a meeting with a few specific teams - they do not get upgraded to a MQL, I want them to stay as what they were before. Or perhaps the call occurs and we decide they are completely unqualified, I don’t want them to jump up to MQL and then down to unqualified. We have analytics based on when someone enters a certain lifecycle stage and how long they stay there, so even a workflow that catches these people that were upgraded to MQLs and then switches it to something else, it still messes up those numbers.
