Currently, when a meeting is booked using a HubSpot meeting link, only the “date of last booked meeting” is created as a contact property. This lacks crucial information such as the meeting time. Consequently, there is no way to customize meeting reminders by sending additional emails or texts to customers or prospects, which is especially important for individuals who don’t regularly check their calendars.
To address this issue and enhance the effectiveness of meeting reminders, the following information should be added as contact properties when a meeting is scheduled:
- Meeting time: Including the time of the meeting is essential for effective scheduling and ensuring participants are punctual.
- Scheduler information: The name and contact details of the person who scheduled the meeting should be captured for reference and personalization.
- Meeting participant information: The name and contact details of the user with whom the meeting was scheduled are vital for clear communication and coordination.
By including these details as contact properties, it will be possible to create customized meeting reminders tailored to individual preferences and needs. This will greatly improve the overall meeting experience and ensure that important appointments are not missed.
Furthermore, in the absence of automation, we would have to consider sending reminders manually. However, even when taking this approach into account, there is still a lack of clear functionality within HubSpot to aid me and my team in effectively reminding our customers about their upcoming appointments.
I sincerely hope that someone on the development team will give serious consideration to these requests. There is no doubt in my mind that the talent exists within the team to deploy a solution. The numerous concerns raised regarding the functionality of the HubSpot meeting feature, as evidenced by the discussions on the HubSpot Community Forum, highlight the urgent need for improvements in meeting reminders: link to forum discussions on meeting reminders.
