Hubspot for Medical device Complaint handling

Has anyone else tried to use HUbspot for medical device complaint handling?

Hi @IHernandez814,

The help desk workspace is industry agnostic: Set up help desk – I don’t see why it shouldn’t be used for medical device complaint handling :slightly_smiling_face:

Specifically, the help desk workspace can support medical device complaint handling by consolidating communications into one centralized system. You connect multiple channels such as email, forms, chat, and even WhatsApp, all incoming complaints are automatically converted into tickets, ensuring that no issue is overlooked. This single workspace also helps support staff respond quickly while maintaining compliance with documentation requirements.

Additionally, analytics provide insights into complaint trends, resolution times, and agent performance.

Best regards

Yes, we’ve explored using HubSpot for medical device complaint handling, and it can work reasonably well with the right setup—but there are a few important considerations.

HubSpot’s ticketing system is flexible and can be customized to track complaints, categorize issues, and manage workflows. You can create pipelines for different complaint stages (received, under investigation, closed, etc.), and automate notifications for your team.

However, for regulated industries like medical devices, especially when dealing with medical device stamping components or other critical parts, compliance becomes a key challenge. HubSpot is not natively built for standards like FDA 21 CFR Part 820 or ISO 13485, so you’ll need to:

  • Configure custom properties for complaint classification and severity
  • Maintain proper audit trails manually or via integrations
  • Ensure documentation and traceability are aligned with regulatory requirements
  • Use external validation or QMS tools alongside HubSpot if needed

In our experience, HubSpot works best as a front-end communication and tracking tool, while a dedicated QMS system handles compliance-heavy processes.

Curious to know—are you planning to use HubSpot as a standalone system, or integrate it with a quality management system?
