HubSpot company to Salesforce account synch

Where can I read-up on company synch (hubspot) to account (sfdc) process, and matching. We have many duplicate company records in HubSpot, most with a Salesforce account ID on record, but no corresponding record in SFDC as the dupes have been removed there.

Does it matter which dupe I remove on the HubSpot side? What are the determinants in the synch for a match versus creating a new account record in Salesforce? Will the synch update the account id on record in the hubspot company record if I remove the wrong hubspot company? etc.

Hi @mowster! A couple of things I’d check before deleting any of the duplicate HubSpot companies.

For Salesforce-synced companies, I would not assume that it doesn’t matter which HubSpot duplicate you remove. I’d first identify which HubSpot company is currently paired with the Salesforce Account and use that as the record to preserve.

For previously synced records, HubSpot can identify the matching company based on the Salesforce Account ID associated with the synced record. With the newer Company Sync, you can also configure deduplication using a mapped field, where the values need to match exactly between HubSpot and Salesforce.

In your specific case, since the Salesforce Accounts have already been deleted, I would be especially careful with the records that still contain a Salesforce Account ID. Deleting the HubSpot record that has the existing Salesforce pairing could potentially cause the remaining HubSpot record to be treated as a new pairing later, rather than simply transferring the old Salesforce relationship.

I’d recommend:

  1. Export/review the HubSpot Record ID, Salesforce Account ID, domain, and any other key identifiers.

  2. Determine which HubSpot company should be the master record.

  3. Verify whether that record is actually still syncing with Salesforce.

  4. Only then merge/delete the duplicate(s).

For ongoing deduplication, I personally use Koalify because you can define custom duplicate rules based on HubSpot properties and then use those rules in workflows to automatically identify/merge duplicates. It’s particularly useful when the standard company-domain matching isn’t enough.

HubSpot’s documentation on the Salesforce company sync and deduplication is also worth reviewing:

Hope this helps!

This helps, thx. The references in particular.
