How UK teams syncing HubSpot invoices and payments into Xero (or QuickBooks) without double-entry?

How UK are you actually keeping HubSpot and your accounting system (Xero / QuickBooks) in sync for invoices and payments? Since HubSpot Payments isn’t available in the UK, most of us are collecting payment outside HubSpot and then trying to reflect it back and that’s where things get messy.

Sharing what I’ve seen work, and hoping others can fill gaps:

The options people use

  • Native-ish: HubSpot’s Xero/QuickBooks integrations mainly sync contacts and deal/invoice records, worth checking what actually flows.
  • iPaaS (Zapier / Make / Operations Hub): flexible, but you’re hand-mapping invoice + payment objects and it breaks on edge cases (partial payments, refunds).
  • Dedicated connectors: vary a lot in whether they push payments (not just invoices) and whether they reconcile fees.
  • Manual export/import: fine at low volume, painful past that.

Where it tends to break (the real questions)

  1. When a payment lands outside HubSpot, what’s your source of truth,HubSpot, the accounting system, or the bank/gateway?
  2. How are you handling reconciliation of fees, refunds and payout timing so the invoice matches what actually hit the bank?
  3. Are you syncing at the invoice level or the payment level? Getting “invoice marked paid” to flow through cleanly seems to be the sticking point.

What’s your current stack for this, and where does it still need manual clean-up? Trying to build a clear picture of what “good” looks like for a UK B2B setup.

For UK stacks without HubSpot Payments, “good” usually means one system owns money and HubSpot owns commercial context, not a two-way invoice ledger.

What tends to hold:

  1. Source of truth: Xero/QBO (or the gateway payout) for cash. HubSpot for deal, invoice issued, and “customer paid” as a commercial signal. If both sides invent payment rows, double-entry is almost guaranteed.

  2. Direction: HubSpot → accounting for invoice create (when the commercial invoice is born in HubSpot or your billing tool). Accounting/gateway → HubSpot for payment status only (paid / partially paid / void), as properties or a payment activity, not as a second full invoice object.

  3. Payment level vs invoice level: drive HubSpot off invoice status + amount due/paid. Syncing every gateway fee line into HubSpot rarely helps sales; keep fee and payout timing in Xero bank rules / gateway settlement reports.

  4. Refunds and partials: update the same HubSpot invoice/deal payment fields; do not create a mirror “negative invoice” in HubSpot unless finance explicitly needs it. Partial payments should change amount paid + status, not spawn duplicate invoices.

  5. iPaaS tip: one scenario writes the invoice, a second scenario only stamps payment fields when Xero/QBO/Stripe says paid. Combine those into one bidirectional map and you will fight refunds forever.

A clean UK B2B picture looks like: quote/deal in HubSpot → invoice in Xero (or Stripe Tax/invoice tool) → payment webhook marks HubSpot deal/invoice paid → finance reconciles fees in Xero only.

Happy to compare notes if you share whether invoices are born in HubSpot, Xero, or Stripe first.

Hey @Arunbathiniuk and welcome, we are thrilled to have you here! :raising_hands: And thanks @kishoreaxioprax for your help!

Great questions, thanks for checking with the HubSpot Community!

To start with, I wanted to share that HubSpot Payments is now available in the UK, and you can also connect an existing Stripe account to HubSpot. That means you do not necessarily need to collect payment completely outside HubSpot. You can use HubSpot invoices, payment links or subscriptions, then sync the resulting invoice and payment data into Xero or QuickBooks Online. Here are the articles for it: HubSpot payment options and Stripe processing.

Now, I’d love to hear from our Top Experts: Hi @danmoyle, @HubDoPete and @Edouardbrunetot do you have recommendations to help @Arunbathiniuk, please?

Have a wonderful day and thank you!

Thanks for the tag @Berangere :slightly_smiling_face: Unfortunately I don’t have many UK clients and haven’t had this situation come up, so I’ll defer to others to help @kishoreaxioprax. Appreciate you thinking of me!

Hey @Arunbathiniuk, just wanted to check on you, do you still need help after checking the contribution from @kishoreaxioprax, please?

Thanks and have a lovely weekend!
