How to Succeed with the Payments Automation

CRM objects are linked to multiple tools in HubSpot, including the Payments Object. Enhance your HubSpot Payments experience by automating commerce processes and internal processes using the workflow tool.

How does it work?

Navigate to Automation and then click on workflows.

To create a payments workflow, in the upper right corner, click on “Create Workflow” and then from Scratch.

In the left panel, select [object]-based to select your workflow object and select “Payments” and then your workflow type (blank workflow or schedule).

Use Cases for Payments-Based Workflows

Here are a few examples of how you can integrate the payments object with your workflows:

  • Send an automated email to contacts who fill out a payment form reminding them to complete the transaction step
  • Notify customers when their payment is processed and received
  • Assign tasks to an onboarding representative after payment is collected
  • Notify customers and customer service representatives of a failed payment
  • Send an automated notification to customers when they are refunded
  • Notify account executives when a customer fills out a payments meeting link for cross-selling opportunities

Quickbooks Integration

Did you know that you can use the Quickbooks Integration with payments-based workflows?

  • Sync payments collected in HubSpot to your Quickbooks Online account using QuickBooks workflow actions
  • Automatically create paid invoices and sales receipts in QuickBooks as you receive new payments in HubSpot

We would love to hear your thoughts on the payments object!

How are you using the payments object, or how would you like to use it?

@kvlschaefer, thank you for this guide. Out team is trying to work out what we can do with Workflows after payments, and this ia a solid start for us, thanks.

I’ve got a specific that I’ve struggled to find answered around the forums, hoped you could help? - Our Payment Link has some optional line items. We’re hoping to have the Workflow check which ones were purchased to trigger various things. We can’t see any conditions around line items. Can you think of any way to check for this? It would be a poor UX for our customers to have different payment links for each of the line items.

Many thanks in advance for your time/help!
