how to set up mass mail ![]()
Hey @AngelaTT ! Thanks so much for joining the HubSpot Community ![]()
I understand you are looking to send emails out to large audiences, right? There are a couple of tools you can consider depending on the content of your emails.
Marketing emails, on the other hand, aim to build relationships, provide value, and nurture leads over time to convert them into customers eventually. You can find a walkthrough of creating and sending marketing emails in this Knowledge Base article: Create marketing emails
On the other hand, Sales emails are typically more direct and focused on driving immediate action, such as making a purchase or requesting a demo. You can send Sales emails out in bulk using Sequences.
Hope this helps you get started!

Hi @AngelaTT,
if you would like to send Marketing information to a large audience efficiently, I would also recommend setting up a marketing email campaign as proposed by @kennedyp. This would involve 6 steps to follow:
Step 1: Create and Design a Marketing Email
HubSpot offers a variety of email templates. Choose one that best suits your needs. You can also start from scratch if you prefer. Use the drag-and-drop editor to customize the email. Add images, text, buttons, and other elements as needed. You may also add personalization tokens (e.g., the recipientās name or company) to make the email feel more personal.
Step 2: Configure Email Settings
After designing your email, click on the āSettingsā tab. Write a compelling subject line and preview text to increase open rates. Choose āFromā Name and Email Address, making sure this is recognizable to your audience. Ensure the email is associated with the correct subscription type to comply with email regulations.
Step 3: Set Up Recipients
Now, go to the āSend or Scheduleā tab. You can choose an existing list or create a new one. HubSpot lets you segment your audience based on various criteria such as location, industry, or behavior. If you want to exclude certain contacts, you can add them to an exclusion list.
Step 4: Test the Email
Always send a test email to yourself or a colleague to check how it looks in different email clients and devices. Check for any typos, broken links, or formatting issues.
Step 5: Send or Schedule the Email
Go back to the āSend or Scheduleā tab: You can either send the email immediately or schedule it for a later time. HubSpot will give you a summary of your email settings. Review everything carefully, before sending it out. Once youāre ready, hit the āSendā button to dispatch your mass email.
Step 6: Monitor Email Performance
After sending the email, you can monitor its performance by going to the āAnalyzeā section under the āEmailā tab. Look at metrics like open rates, click-through rates, and bounce rates to gauge the effectiveness of your campaign.

As pointed out by @kennedyp, HubSpot allows you to send mass emails through the Sales Hub as well, though the approach differs slightly from marketing emails. Sales emails are typically more personalized and targeted, making them ideal for outreach campaigns, follow-ups, or nurturing leads. They focus on direct, text-based communication with minimal branding and often lack an unsubscribe option. In contrast, Marketing Emails are used for broader campaigns, reaching large audiences with visually rich content and mandatory unsubscribe links. They are typically one-off sends or part of larger marketing workflows, aimed at nurturing leads at scale. You may will find this conversation interesting as it dives deeper into the purposes of marketing emails and sequences.
Let me know if you have any questions.
Best regards
Adriane
