How to Send Specific Data Processing Consent Requests to Candidates in HubSpot

We are currently using HubSpot as our CRM to track various contacts, including candidates for recruitment purposes. According to GDPR regulations, we need to obtain consent from all our contacts for data processing. However, we have a specific requirement for our candidates.

Our Requirement:

We need to manually send consent requests to our candidates asking for their permission to process their data using AI. This consent request is different from the standard data processing consents we need from our other HubSpot CRM contacts.

Current Challenge:

While I am aware of the options to manage communication subscriptions in HubSpot, these seem to focus solely on communication preferences rather than data processing consent. We need a solution to send a tailored consent request specifically for data processing to our candidates.

Question:

Is there a way to send customized data processing consent requests to a specific segment of contacts individually (e.g., candidates) within HubSpot?
Should we achieve this with subscriptions?

Any guidance or suggestions on how to best handle this within HubSpot would be greatly appreciated.

apart from the Subscription Settings, there is no built-in feature to handle other consent options like the one you describe. You can however build your own process with custom properties.
You could create a simple HubSpot form to send to the candidates. The candidates could fill out this form (could be just a checkbox) and submit it. The response (consent) would be saved in a property (that you would have to set up first).
Alternatively, you could send an e-mail with a confirmation button that the recipients can click to confirm the consent (which would also be saved in a property).
Please note, that I can only advise on the process/technical options. I’m not able to tell you if these options fulfill the requirements you might have from your legal department.
