How to reconcile Sales and Finance views ?

Hi
I would welcome any best practices / tips and tricks how to successfully reconcile the sales and finance views.
how to setup
a) optimal Deal Management for sales, where PO = Deal, with different product line items & price / margins

b) optimal forecasting of on pipeline coverage, deal stage and forecasting probability
c) accurate ARR / MRR view relevant to deal type, revenue composition
I have reviewed the trainings and saw fragments here and there but have not found much on how to reconcile.

Any advise would be welcome

Hi @mnigi — great question, this is something a lot of teams struggle with.

I’ll pull in a few folks who may be able to help
@karstenkoehler @TomM2 @HubDoPete — have you seen setups where deals, forecasting, and ARR/MRR reporting all stay clean for both teams? Any quick tips or patterns that work well?

Looking forward to hearing what’s worked for others.

Best, Victor

Hi @mnigi ,

This is one of those setups that sounds straightforward but gets messy fast, so you’re definitely not alone here. The key thing I’ve found is to separate the “sales reality” from the “finance reality” at the object level. For deal management, keeping PO as the Deal makes sense, but you’ll want to use line items properly with amount, quantity, and recurring billing frequency fields so HubSpot can calculate revenue correctly (Use line items with deals). Make sure your deal properties include both the sales facing fields like expected close date and stage, and finance facing ones like contract start date and billing terms.

For forecasting, the native forecast tool in Sales Hub Enterprise actually lets you set custom forecast categories per pipeline stage, which helps bridge the gap between sales optimism and finance conservatism. You can map stages to forecast categories like commit, best case, pipeline etc. The tricky part is ARR/MRR because HubSpot calculates it from line items but only if you set up recurring revenue tracking properly in your settings (https://knowledge.hubspot.com/reports/track-recurring-revenue-with-revenue-analytics).

One thing worth mentioning, if your finance team lives in NetSuite or another ERP rather than HubSpot, you’ll eventually hit the reconciliation wall where the numbers dont match because of timing differences or data entry in two places. Thats where something like Stacksync can help by keeping deal and revenue data synced in real time between HubSpot and your finance system so both teams are looking at the same numbers. Note: The content is based on my personal experience and was refined using AI for better clarity.

Hope this helps, happy to dig deeper if you want to share more about your current setup.
