How to Prevent HubSpot from Auto-Creating Contacts & Companies from Outlook Calendar Meetings?

Hi everyone,

I’ve connected my Outlook calendar to HubSpot, and everything is working as expected. However, I noticed an issue: when I create a meeting in my connected Outlook calendar with external partners (who are not in our CRM), HubSpot automatically creates new contacts and companies based on the meeting details.

We intentionally keep our CRM clean and don’t want every external meeting to generate new records automatically. Ideally, I’d like to manually select which meetings get logged in HubSpot—similar to how we can choose which emails to log.

Is there a way to prevent HubSpot from auto-creating contacts and companies from meetings in my connected calendar? Or at least an option to manually decide which meetings are logged?

Any insights or workarounds would be greatly appreciated!

Thanks in advance.

Hi @JBleys,

The most reliable way to keep these out of HubSpot would be setting the event to private, see the yellow info box at the end of this article: Use HubSpot's calendar sync with Google Calendar or Outlook Calendar

Best regards!

Thanks for your reply.

What I don’t understand is that Hubspot says in that same yellow box that is does not create new contacts for an event via my outlook Calender, but in the end it does create a new contact (& company) ?

Regarding your response, is this really the only way to go forward ? To privatise all my events ? A bit of a hassle no ?

@JBleys something else might be going on here, have you checked the record source of these contacts / companies? View and use record source properties

What do they say for the affected records?

You’re right !
It has to do with my integration with Fireflies (AI notetaker) (see screenshot)

Hopefully I can change it in the settings there.
Just for clarity, so it is true that Hubspot will not create new contact (AND also companies ?) if there are not in the system yet whenever a meeting occurs via my connected calender ?

@JBleys correct, that should not be happening :slightly_smiling_face: It seems to be in your case because of your Fireflies.ai integration.

You’re a hero ! Thanks for the help !

Does Hubspot have anything similar like Fireflies ? An AI notetaker during meetings ? Would be super handy to use all form one platform

@JBleys I’m not aware of a native feature here, no
