I have an email going out from Calendly, but I’d like some automations to happen WITHIN hubspot to know when a meeting is booked b/c I want to create a workflow to create a deal automatically when a Calendly meeting is booked.
We already have it integrated I believe… my question is how do we know in HUBSPOT when a meeting is booked? basically what I want to happen is whenever an appointment is booked I want it to change the Lead Status (one of our custom properties) in the Contacts section and then also automatically create a DEAL.
In the Workflow area I haven’t found a way to find the appointment booked so i can trigger a flow.
When looking to trigger a workflow based on meeting booked via Calendly, you can set up the following enrollment trigger - ‘Activity properties’ > ‘Meeting name’ > ‘Contains any of’ > ‘Calendly’.
Here’s an example screenshot for better illustration:
To further elaborate, any meeting scheduled on Calendly will contain ‘Calendly’ on the meeting name. Hence we can use that as the enrollment trigger. Let me know if this helps!
Hey @GPostlethwait, also trying to do this! Did you end up figuring out a solution for setting this up? Looking to switch from HubSpot meeting links to Calendly because it’s much more customizable, but we definitely need to be able to stop a sequence once someone books a call without having to stay on top of it manually.
Hello, I can able to find the “Calendly - Meeting in Hubspot Activity”. But, I couldn’t find the “Meeting name” in the workflow filter. Is there any other option for this to find it?
It looks like this problem has already been solved, but if you want an advanced scheduling tool that easily notifies you when a meeting is booked, I suggest trying Chili Piper. Being updated whenever a meeting is booked is essential in lead routing and customer retention.
We used Calendly before but found it a little bit lacking in terms of flexibility and functionality. Just like Calendly, Chili Piper integrates with HubSpot well. It has more advanced features, and for me, the interface is easier to navigate with Chili Piper.
Their customer support is also very responsive, so you can ask them directly when you encounter problems like this. Give it a try and see if it suits you!
@jennaross - follow-up from what @MStaAna has written we have implemented Chili Piper because it is far more fit for purpose. Now implemented on our site and has been a gamechanger for flexibility and experience

But how do I have to configure the workflow that a amrketing email will be send to the customer one hour after the meeting took place?
