How to handle shared (general) phone numbers?

Working exclusively in the education (K-12) school sector, many/most of our contact records will have a unique email address but a shared, general phone number used across the organisation. This means that whenever a call is updated in HubSpot, we often (almost always) find it associated with the wrong contact record.

How do others handle this? We might have a dozen contacts, all of whom we need to work with, all sharing the same number and with no “extension” available for us to record it against.

Do you have any sage ideas? :slightly_smiling_face:

  • HubSpot Sales Enterprise & Service Pro
  • Aircall

@Adam_W were these shared numbers added to HubSpot via Aircall or any enrichment app? One of the options is to use any Contact Enrichment app to find the personal mobile phone numbers of the persons you want to call and then use their mobile phones rather than generic phones. You can use HubSpot Breeze Intelligence, Surfe, Apollo, or any other data enrichment tool.

You may also fill in both your phone number and mobile phone number (or even create a custom property) to fill out various phone numbers for people. Then you can call them and find out where’s the correct number and use it only as the main phone number (let’s say Phone Number property)

Thanks, @tverdokhlib1. These are organically entered/updated rather than culled from a database. They’re also accurate numbers. In our field we can’t easily get mobile numbers, nor would we want to, as that’s seen to be crossing a line for many customers.

The main sticking point is that these people share a number, but HubSpot can’t handle that elegantly. Instead, it randomly selects one contact and confidently reports that person as the one who was involved.
