How to deal with multiple companies with the same email

Hi all,

I am wondering how people are dealing with the following case:

We sell our products through an international reseller network, of which some have multiple showrooms in different locations. Now, when leads request a quote at a certaint reseller, I will copy and route this information to the respective reseller using dynamic e-mails with the smart-rule ‘Primary company’. Here’s where things get tricky.

Some resellers have the same e-mail address for multiple showroom locations, for for example… :

Reseller ABC showroom 1, email: info@reseller.com

Reseller ABC showroom 2, email: info@reseller.com

Etc…

The workflow I described earlier only works if the corresponding contact (business owner) had the label ‘Primary company’. But only one company can be labeled as ‘Primary company’.

So my question is, how should I deal with resellers who have multiple showroom locations and should receive quotes per location (I can’t get rid of this), when they only have 1 e-mail address and I can only label 1 company as ‘Primary company’?

Hello @KFireplaces, Happy Monday!

I was able to find that currently there is a beta version to associate records of the same object,

In HubSpot, associations keep track of the relationships between the records in your CRM. You can associate records of different objects (e.g., a contact and a deal), but you can also associate records of the same object (e.g., two companies).

If your account has a Professional or Enterprise subscription, you can create association labels to describe how the records within an object are related.

Some possible same-object associations include:

  • Companies that are partners, a parent company and subsidiary, or headquarters and regional offices.

I want to share this knowledge base with more information here and invite our top experts @jolle @HubDoPete @himanshurauthan any recommendations for @KFireplaces matter?

Thank you,

Pam

Hi Pam,
Thank you for your reply!
I mean it works in terms of associating resellers’ showrooms with eachother, based on same-object associations (1 label).

But the end goal is to take account of leads per showroom and notify the reseller’ contact person, even though they all have the same e-mail address (Note that this cannot be changed, since leads choose their preferred showroom). Unfortunately, the same object association cannot be used in e-mail personalisation - currently I am using Primary Company as personalisation token to notify reseller’ contact person. But as you can see this is limited to 1 contact per company, as each contact can only have 1 Primary Company.

Am I missing something? Do you know a workaround?
Cheers
